User Guide for Stock Exception Guard Module
This guide explains the configuration, usage, and management of Stock Exception Guard in your Odoo system.
1. Module Overview
The Stock Exception Guard module helps sales teams avoid accidental overselling by detecting shortages on quotations and routing them through a Sales Manager approval before confirmation. Quantities of the same product across all quotation lines are combined and compared against available free_qty â and users can Request Exception, while managers can Approve or Reject, with every action logged in a complete audit trail. Urgent business stays possible through controlled override, without exposing inventory to unintended negative stock.
2. Configuration
To configure the Stock Exception Guard module:
- Install the Stock Exception Guard module.
- Ensure your sales managers belong to the standard Sales / Manager security group â they will perform exception approvals.
- Go to Sales â Products â Products and open each storable product where stock controls should apply.
- Keep Allow Sale Below Stock disabled for strict stock-controlled items, or enable it for products where overselling is acceptable (e.g. drop-ship or made-to-order).
- Save the product. Repeat for each item â bypass is configured at the product level, so each product is managed independently across companies.
3. Requesting & Approving Stock Exceptions
- From Sales â Quotations â New, create a quotation and add a product with quantity exceeding the available free_qty.
- Open the Stock Exception Control section, review the Detected Shortages message, and enter a clear justification in Exception Reason.
- Click Request Exception â the quotation is now visible to a Sales Manager for review.
- Once the manager clicks Approve Exception, the sales user can Confirm the quotation; if Reject Exception is clicked, the user must adjust quantities or wait for stock.
4. Reporting & Export
- PDF Export: Print quotations including stock exception status, reason, requester, and approver details for offline management review and audit packs.
- Excel Export: Export quotation lists with shortage and approval columns for sales/inventory coordination meetings and reconciliation records.
- Filtering: Filter and group quotations by exception status (Pending, Approved, Rejected), salesperson, customer, or date range to monitor pending approvals at a glance.
