Product Reservation From Purchase Order
Product Reservation From Purchase Order is a custom module for Odoo that enables businesses to reserve incoming product quantities directly from Purchase Orders for specific customers before the products are received into inventory. It connects Purchase, Sales, Inventory, and the Customer Portal to manage in-transit reservations, automatically create reservation orders, and ensure accurate allocation and tracking of reserved stock. The module also includes an automatic reservation expiry feature, which sends an email reminder to customers 10 days before expiry to approve or reject the reservation; if no action is taken, the reservation is automatically cancelled and the reserved quantity is released back to available stock.

Navigate to the Purchase module in Odoo, click New to create a Purchase Order, and select the required product with the desired quantity.
After entering the quantity, the Available Quantity is displayed on the Purchase Order line, and you can click Confirm Order to confirm the purchase in Odoo.
Once the Purchase Order is confirmed, the Product Reservation button becomes available on the Purchase Order.
When you click the Product Reservation button, a reservation popup opens where you can select the customer and product, available quantity, and enter the quantity to reserve for the customer.
Click Create Sale Order to generate the reservation order, and a Reservation Sale Order smart button will appear on the Purchase Order.
You will also notice that the available quantity decreases based on the reserved quantity created in the reservation order.
When you click this smart button, the reservation order will be displayed with the reserved quantity and customer details, and the reservation information can be sent to the customer via email.
When the customer logs in to the customer portal, they can view their reservation orders from the My Reservations section.
To access this, the customer should log in to the portal, go to My Account, and click on My Reservations to see their reservation details.
When the customer clicks on My Reservations, a list of all their reservation orders is displayed.
When the customer clicks on a reservation order, they can view the detailed information, including the reserved quantity and the reservation status.
When the Purchase Order receipt is validated, the reserved products become available in stock.
The customer is automatically notified by email when the stock is received, informing them that their reserved items are now available.
An email notification is also sent to the project team to inform them that the reservation is ready for processing.
In the customer portal, the reservation order details include two available actions: Approve Reservation and Reject Reservation.
When the customer clicks Approve Reservation, the reservation order is approved, and its status is automatically updated to Approved from the customer portal.
When the customer clicks Reject Reservation from the customer portal, the reservation order is automatically cancelled, and the reserved quantity is released back to available stock.
You can verify from the Purchase Order that the available quantity is updated and returned to stock after the reservation is cancelled.
From the customer portal, the customer can also reserve quantities from the Transit PO (Reserve) section.
Clicking on Transit PO (Reserve) displays a list of available Purchase Orders for reservation
Click on a Purchase Order from the transit list to view the products and their available quantities for reservation, and the user can enter the Reserve Quantity to book the items.
When the customer clicks Book for a reservation, they are redirected to My Reservations, where the reserved product details are displayed.
Once the Purchase Receipt is validated, the customer can no longer approve or reject the reservation. The system automatically sends reminder emails twice — first 7 days before and then 3 days before the reservation expiry. If the customer takes no action, the reservation order is automatically cancelled based on the reservation delivery date.
Additionally, when a reservation order is cancelled, the system automatically notifies the customer via email that their reservation has been cancelled.
Here is the scheduled action for sending reminder follow-up emails for reservations:
- First Reminder: Sent 7 days before the reservation expiry date.
- Second Reminder: Sent 3 days before the reservation expiry date.
- Automatic Cancellation:If no action is taken by the customer, the reservation order is automatically cancelled on the reservation delivery date, and the reserved quantity is released back to stock.
- Customer Notification: Sent An email is sent to inform the customer thattheir reservation has been cancelled.
How can I reserve products for a customer from a Purchase Order?
- You can reserve products by clicking the Product Reservation button on a confirmed Purchase Order. A popup allows you to select the customer, product, available quantity, and enter the reserved quantity.
What happens after I create a reservation order?
- Clicking Create Sale Order generates a reservation order. The reserved quantity is reduced from the available stock, and a smart button appears on the Purchase Order to view the reservation details.
How can customers view their reservations?
- Customers can log in to the portal, go to My Account → My Reservations, and see a list of all their reservation orders along with details such as reserved quantity and status.
How does the reservation approval process work?
- Customers can approve or reject reservations from the portal. Clicking Approve Reservation updates the order status to Approved. Clicking Reject Reservation automatically cancels the order and releases the reserved quantity back to stock.
Can customers reserve products from in-transit Purchase Orders?
- Yes. In the portal, customers can go to Transit PO (Reserve), view the list of Purchase Orders, check available quantities, and book reservations by entering the reserve quantity and clicking Book.
What happens if the customer does not take any action on the reservation?
- The system sends reminder emails 7 days and 3 days before the reservation expiry date. If no action is taken, the reservation order is automatically cancelled, the reserved quantity is returned to stock, and the customer is notified via email.
Are team members notified when a reservation requires action?
- Yes. When a reservation is ready for processing, the system sends an email to the project team with the subject: “Action Required – Reservation Order S00061 is Ready for Processing.”
