Employee Request Management Workflow
Configure Employee-Wise Request History
Administrators can easily track all requests by navigating to the Employee Form. Under the new "Employee's Request" tab, you can view a complete list of requests made by the employee, including the Request Code, Date, and Live Status. This provides a centralized view of all individual employee submissions.
Smart Integration: The system automatically links every request to the employee profile, ensuring that managers and HR can review historical data in real-time.
Submit Request & Trigger Approval Workflow
Once the request form (e.g., EREQ0006) is filled, simply click the "Send Request" button. This action moves the status from Draft to Running, automatically notifying the assigned manager and generating a professional PDF report for the submission.
Workflow Automation: The system instantly updates the Company Action Taken Status to "On Hold" and attaches the generated PDF to the chatter for complete transparency.
Managerial Actions & Decision Making
When a request is in the Running stage, the assigned manager can review the details and take immediate action. The system provides two primary options: "Approve Request" to finalize the submission or "Reject Request" to deny it.
Action Impact: Approving a request updates the Company Action Taken Status to "Working" and automatically notifies the employee about the positive decision via email.
Email Notifications & Dynamic PDF Generation
The system handles communication automatically. When a request is submitted, an Email Notification is sent to the manager with a concise summary. Simultaneously, a professional PDF Report (e.g., Request_EREQ0006.pdf) is dynamically generated and attached, serving as a permanent digital record.
Documentation Excellence: The generated PDF includes critical details like Request Type, Financial Impact, and Employee Info, ensuring that your organization maintains a clean audit trail for every single request.
Successful Approval & Final Acknowledgement
Once the manager grants permission, the request transitions to the Approved stage. The system then allows the employee to mark the request as Received, confirming that the requested resource or service has been officially acknowledged and provided. This completes the lifecycle of the request EREQ0006 with full transparency.
Completion Tracking: When marked as received, the Company Action Taken Status updates to "Provided" and the Done Date is automatically logged, ensuring accurate HR analytics and reporting.
Final Approval Notification & Documentation
This stage confirms the successful approval of the request. The status officially moves from Running to Approved, and the company action is updated to "Working". A finalized PDF document (e.g., Marc Demo.pdf) is attached to the record, serving as the formal approval certificate for the employee's reference.
Employee Notification: The system automatically triggers a personalized email to the employee (e.g., Marc Demo), including the approval status and the attached PDF report for their professional records.
Final Completion & On-Demand PDF Reporting
In the final stage, the request status is marked as Done and the company action status is updated to "Provided". Beyond automated reports, users can manually generate a formal "Employee Request Information" document at any time using the print menu, ensuring all approval history and request parameters are easily exportable.
Audit Readiness: The printable PDF serves as a comprehensive audit record, capturing the entire lifecycle from Draft to Done, including the specific date the request was fulfilled.
Successful Request Resolution & Lifecycle Closure
This final notification signifies the successful closure of the employee request lifecycle. The request status has officially transitioned from Approved to Done, confirming that all administrative actions and service deliveries are complete. A personalized PDF report remains attached as a permanent record of the fulfilled request.
Fulfillment Confirmation: The system logs the exact Done Date and updates the final communication history, ensuring that both the employee and HR have a verified confirmation of the request's successful completion.
Official PDF Report & Detailed Audit Summary
The system provides a professional PDF Report for every completed request. This document, titled Employee Request Information, acts as the final audit trail for internal records. It displays the Request No (EREQ0006) along with key dates, confirming the timely completion and successful delivery of the requested service or asset.
Structured Data: The report captures the Employee Name, Request Type, Financial Impact, and the final Provided status, ensuring all departmental records are perfectly synchronized and professionally documented.
