Overview
This app provides a secure and organized way to share files from your internal Odoo Documents workspace directly with your customers and portal users.
Instead of sending files manually via email or using third-party links, you can simply select documents, assign a Subject Reference, and share them. The portal user receives an email notification and can log in to search, preview, and download the documents directly from their personalized portal dashboard.

How It Works
1. Global Settings Integration
Enable Sharing Configurations
Easily enable or disable the entire document sharing functionality globally via the Allow Shared Documents setting in the Documents configuration menu.
2. Portal User Access Control
Can Access Portal Documents
Manage access on a per-user level. The Can Access Portal Documents checkbox on the User form (enabled by default) controls who is allowed to view shared files on portal.
3. Dedicated Configuration Menus
Shared Docs & Subject References
Navigate easily through the newly added configuration menus to manage your Shared Documents and Subject References directly from the Documents app.
4. Subject Reference Management
Organize by Subjects
Create Subject References to logically group shared files. Utilize the Active toggle to hide outdated subjects, and use Sequence routing so your newest/most important subjects always appear first.
5. Share to User Action
Share Directly from Workspace
Select any document(s) directly from your workspace and click the new Share to User button to initiate the sharing process.
6. Comprehensive Sharing Wizard
Configure Your Share Rules
The popup wizard provides complete control over how the documents are dispatched:
- Users: Select the specific portal user(s) who should receive access.
- Subject Reference: Group the files under a specific folder/topic in the portal.
- Shared Documents: Verifies the list of files you are currently sharing.
- Send Email Notification: Check this box to instantly send an email alert to the users.
- Internal Note: Add private context for backend staff. (This note is strictly for internal tracking and is completely hidden from portal users).
7. Backend Tracking (List & Form Views)
Monitor Shared Data
Keep a strict audit trail. Internal users can view all shared documents through dedicated List and Form views, complete with the internal notes and recipient data.
8. Email Notification
Automated Alerts
If configured in the wizard, the system automatically sends a professional email notification to the portal user, informing them that a new documents has been securely shared with them with documents list.
9. Customer Portal Dashboard
My Account Access
Portal users can effortlessly access their files via a new Shared Documents shortcut located directly on their portal homepage.
10. Subject Folder Organization
Clean Portal Navigation
Upon entering, users see a clean list of Subject Folders (sorted by sequence). They can use the powerful portal search bar to filter by Subject or specific File Names or Folder Name.
11. View & Download Documents
Inside the Folder
Inside a Subject, users can view all assigned files and use the quick action buttons to immediately Download the document to their local device.
12. In-Browser Document Preview
Read Without Downloading
Users can click the Document to seamlessly read PDFs, Text Files and view images directly within their web browser.
13. Seamless Pagination
Handle Large Volumes of Files
The portal view includes robust pagination, ensuring that even subjects with hundreds of shared files load quickly and remain easy to navigate.
