How It Works
Follow these steps to configure your Smart Rental addon and manage rental operations.
Step 1: Configure Rental Types and Settings
Navigate to the Rental → Configuration menu. Define your equipment categories via Rental Types and determine their Duration Types (e.g. Daily, Hourly) to establish a base for your rental products.
Step 2: Setup Pricing Rules in Products
Assign dynamic pricing under Configuration → Pricing Rules. You can configure:
• Product and Variant level pricing.
• Weekend pricing.
• Product and Variant Deposit and Late Penalty settings.
• Duration-based modifiers (e.g. discounted rates for longer rentals).
• Minimum required rental durations and delay penalties.
Step 3: Create Rental Orders & Handle Deposits
If want to create invoice for the deposit, need to enable the "Invoice for Deposit" option in the configuration settings.
Go to the Orders menu and create a new Rental Quotation.
Add rental products, verify real-time availability, and outline security deposits if required. The system will automatically compute pricing based on the configured dates. once the deposit invoice is paid, the order status will update to "Deposit Paid".
Step 4: Pickup & Quality Checks
Before a product leaves your inventory, perform a Quality Check from the Operations menu. for that need to enable the "Enable Quality Check" option in the configuration settings.
Capture the current state of the rental unit and attach any required verification documents outlined in your Inspection Checklist configuration. Complete the check to release the item to the customer.
Step 5: Return Inspections & Late Penalties
When the customer returns the item:
• Perform a return Quality Check to verify the item's condition against initial records.
• Track delays; the system automatically generates an invoice for Late Penalty Fees if applicable.
• Finalize the return and process security deposit refunds directly through the order.
Step 6: Refund Deposits & Close Orders
After the return process:
• Refund security deposits directly to the customer, or adjust them against the order total. Any applicable damage or late charges can be deducted accordingly before settlement.
• after processing refunds and deductions, generate the final invoice for the rental order, which includes any late penalties or damage fees if applicable.
• Once all processes are complete, mark the order as closed to update inventory and financial records.
Step 6: Online Bookings & Website Orders
Enable the eCommerce integration to allow customers to place rental orders directly from your website:
• Customers browse rental products, check real-time availability, and select dates via a smart calendar interface.
• Pricing rules and security deposits and delivery costs are calculated automatically at checkout.
• Customers can manage their active rentals, download invoices, and track their deposit status through their personalized Customer Portal.
Installation
📂 Step 1: Copy SmartRental Module
Copy the smart_rental folder into your Odoo custom addons path.
🛠 Step 2: Enable Developer Mode
Activate Developer Mode in Odoo to allow installation of custom modules.
📦 Step 3: Update Apps List & Install
Go to Apps → Click Update Apps List → Search for SmartRental → Click Install.
🔄 Step 4: Restart Odoo Service
Restart your Odoo service to ensure proper module loading.
