Cost Sheet / CPQ Based Quotation Generation
A Cost Sheet / CPQ (Configure, Price, Quote) module built for Odoo that helps Sales Teams give customers an approximate project cost in seconds - without creating multiple quotations. Sales reps build a cost sheet directly from a CRM Lead, compare product combinations and variants, and share a budget range instantly. Especially useful in the Renewable Energy Industry like Solar, Solar EPC etc., where customers frequently compare different product combinations before finalising an order. The module helps salespersons discuss pricing more efficiently and simplifies the entire sales process.
Cost Sheet User Access Rights
Configure role-based access rights for the Cost Sheet module from Users settings. Users with the User: Show Cost Sheets access right can view and create Cost Sheets using existing Templates, while users with the Administrator: Approve Cost Sheet access right can manage administrative pricing controls. This ensures secure pricing management, controlled approval flow, and proper access separation between sales users and administrators.
Cost Sheet Template Creation
Navigate to CRM → Configuration → Cost Sheet Template to create and manage templates. Only Admin users can create and edit templates from this menu.
Product Lines Configuration
Define the products included in the Cost Sheet - required items for the project.
Margin Configuration
Admin configures a Percentage Margin or Fixed Margin on the template - regular users cannot view or modify margins.
Cost Sheet from a CRM Lead
When a customer requests pricing, the salesperson creates a Cost Sheet directly from the CRM Lead - providing an estimated budget range without generating any official quotation.
Variant Change Scenario
When a customer requests a product variant change, the salesperson creates a new Cost Sheet from the same Lead, selects the same Template, swaps the required product, and shares the updated price instantly.
Multiple Cost Sheets Per Lead
Multiple Cost Sheets can be created under a single Lead - tracking all pricing options shared with the customer and maintaining a complete sales discussion history.
Final Quotation & Sales Order
Once the customer confirms, the salesperson generates one official Quotation from the Lead - a single Sales Order is created and the delivery process begins.
Only one final Quotation is generated per Lead - regardless of how many Cost Sheets were created during the sales discussion.
Cost Sheet Template Creation
Admin users create and manage templates from CRM → Configuration → Cost Sheet Template. Each template defines the product list and pricing rules that form the foundation of every calculation - ensuring consistency across all sales discussions.
Configurable Product Lines per Template
Each template allows the admin to define exactly which products are part of the calculation - for example, Solar Panel, Inverter, Battery, Structure, and Cable. Product lines can be tailored to any project type or customer requirement.
Percentage & Fixed Margin Configuration
Two margin types are supported - Percentage Margin (e.g., 10% on ₹1,00,000 = ₹1,10,000) and Fixed Margin (e.g., ₹15,000 added to ₹1,00,000 = ₹1,15,000). The admin selects whichever type suits the project. Margins are hidden from regular users.
Admin-Only Margin Access Rights
Margin configuration is restricted to Admin users only. Admins understand negotiation behaviour and market trends, so they pre-set margins that keep the company profitable in both cases - whether or not the customer negotiates a discount.
Cost Sheet Created Directly from a Lead
When a customer requests pricing, the salesperson creates a Cost Sheet directly from the CRM Lead. An approximate project cost is shared immediately - no official quotation is generated at this stage, keeping the process fast, informal, and customer-friendly.
Multiple Cost Sheets per Lead
Multiple Cost Sheets can be created under a single Lead. This tracks all pricing options shared with the customer, makes variant comparison straightforward, maintains a full history of pricing discussions, and eliminates the need for multiple formal quotations.
Easy Product Variant Comparison
When a customer asks to swap one product variant while keeping everything else the same, the salesperson creates a new Cost Sheet on the same Lead, selects the same Template, changes only the required product, and instantly shares the updated approximate price - no rework needed.
No Multiple Quotations Generated
Regardless of how many Cost Sheets are created during the sales discussion, only one official Quotation is generated once the customer confirms the order. A single Sales Order is created and the delivery process begins - keeping records clean and organised.
Role-Based User Access Control
Admin users can create Templates, edit Templates, and configure Margins. Regular users can only use existing Templates and create Cost Sheets from Leads - they cannot create or edit Templates. This separation ensures pricing consistency and prevents unauthorised changes.
