Manual Payslip Distribution
Sending payslips manually one by one is time-consuming and error-prone. HR teams waste hours downloading PDFs and emailing them individually. This module automates the entire process with bulk dispatch for all confirmed payslips.
No Digital Signature Trail
Proving that an employee has received and acknowledged their payslip is critical for compliance. Our portal allows employees to digitally sign their payslip, creating an auditable record of receipt.
Insecure Document Sharing
Sharing PDFs via generic email lacks access control. Our module generates a unique, secure access token per payslip, ensuring only the intended employee can view their document through the portal.
Missing PDF Generation
If a payslip PDF has not been generated yet, the module automatically generates it on-the-fly using the payslip structure's configured report, ensuring the email always carries the correct document.

Step-by-Step implementation
1. Configuration Guide
Ensure employees have their work emails configured before using this module:
- Go to Employees > Employees.
- Open each employee record and verify their Work Email is set.
- Also verify the Private Email (Private Information tab) for portal access.
- Ensure outgoing mail server is configured in Settings.
2. Operating Manual (Workflow)
How to send payslips to your employees:
Step 1: Confirm Payslips
Go to Payroll > Payslips. Select one or more payslips in Done or Paid state. Only confirmed payslips will be processed.
Step 2: Send Emails
Click the "Send Payslip Email" action button. The module will automatically generate PDFs for any missing attachments and dispatch the emails individually to each employee.
Step 3: Employee Views Portal
The employee receives an email with a secure tokenized link. They click it to access their personal payslip portal page without needing to log in to Odoo.
Step 4: Digital Sign
On the portal page, the employee can digitally sign their payslip. The status changes from To Sign to Signed, recording the employee's acknowledgment.

Scenario 1: Bulk Email Send
- Go to Payroll > Payslips and select multiple payslips in Done state.
- Click Action > Send Payslip Email.
- Test: Each employee should receive an individual email with their payslip PDF attached.
- Test: Employees without a Work Email should appear in a validation error list.
Scenario 2: Portal Access
- Send an email to an employee with a payslip.
- Open the email and click the portal link.
- Test: The portal page should open without requiring login.
- Test: The payslip details (name, period, amounts) should be correctly displayed.
Scenario 3: Digital Signature
- Open a payslip portal page as an employee.
- Sign the payslip using the signature field.
- Test: The payslip status should change from To Sign to Signed.
- Test: The signature image should be stored on the payslip record in the backend.
Scenario 4: Auto PDF Generation
- Send an email for a payslip that does NOT yet have an attached PDF.
- Test: The module should auto-generate the PDF and attach it to the email.
- Test: The PDF attachment should also appear on the payslip record under Attachments.
FAQ & Troubleshooting
Common Resolutions
Employee did not receive the email?
Reason: The employee's Work Email may not be configured.
Fix: Go to the employee record and add a valid Work Email. Also check the outgoing mail server configuration in Settings.
Only "Done" or "Paid" payslips are sent?
Reason: The module intentionally filters to only process confirmed payslips for data integrity.
Fix: Confirm the payslip first (change state to Done). Draft payslips are skipped automatically.
Portal link returns "Access Denied"?
Reason: The access token may have expired or been invalidated.
Fix: Resend the email from the payslip to generate a fresh token link. Each send generates a new secure token.
Is this compatible with Multi-company?
Answer: Yes!
Detail: Each payslip is processed individually. The portal token is unique per payslip record, so multi-company environments are fully supported without cross-company data leaks.
