How to Use â Step by Step
A complete guide to running your fleet in Odoo.
Install the Module
Go to Apps, search WT Transport & Fleet Management and Install. Fleet, HR and Accounting install automatically. A new Transport menu appears.
Assign User Roles
Under Settings → Users give each user a Transport role â Driver, Fleet Officer or Fleet Manager. Set the distance unit (km / miles) under Transport → Configuration → Settings.
Configure the Basics
Under Transport → Configuration review the ready-made expense categories and document types, then add your Locations â depots, hubs, fuel stations and customer sites.
Add Vehicles & Documents
Go to Transport → Fleet → Vehicles and add each vehicle. On the Transport tab assign a driver and record documents (registration, insurance, fitnessâ¦) with their expiry dates.
Add Drivers
Under Transport → Drivers create driver records (they are employees). Fill in the licence number, class, country and expiry â the module alerts you before it lapses.
Schedule a Trip
Go to Transport → Operations → Trips and create a trip â vehicle, driver, origin, destination and charge. Click Schedule, then Start Trip on departure.
Complete & Invoice the Trip
On arrival enter the closing odometer and click Complete â distance, duration and profit are computed and the vehicle odometer updates. Click Create Invoice to bill the customer.
Record Expenses
Under Operations → Expenses log fuel, tolls, fines and repairs against a vehicle or trip. Submit → Approve → Mark Paid, and optionally create a vendor bill.
Run Payroll
Under Drivers → Payroll create a settlement per employee â basic salary plus allowances, bonuses and deductions. Click Compute Reimbursement to pull in approved expenses, then confirm and print the payslip.
Monitor the Dashboard
Open Transport → Dashboard for a live view of trips, revenue, profit, fuel cost, document alerts and an expense breakdown â every tile drills into the data.
