Fleets self-serve — balance, cards, top-up
Every fleet customer and driver signs in to their own portal: a live prepaid-wallet balance, their cards shown as real on-screen virtual cards, a full statement, and a one-tap top-up request by M-Pesa or Airtel Money. They freeze a lost card and read their history without a single phone call to your office — the self-service every WEX or Shell Fleet customer expects, on your own forecourt.
Load-and-go, funded by mobile money
Flag a fleet customer as prepaid and they run on a wallet you top up in advance — the dominant model across East Africa. Record the M-Pesa or Airtel confirmation code on every credit, watch the live balance and the total loaded, and let a low-balance flag warn you before a truck is stranded. Prefer the classic account? Switch the customer to postpaid and run on a credit limit and receivable instead.
Every top-up and litre, signed and dated
The wallet is a real ledger, not a number that drifts: each top-up is a positive movement, each fuel purchase a negative one, each carrying its method, reference and a running balance. Portal top-up requests land as "Requested" for a supervisor to confirm once the mobile-money payment is verified — then they post and credit the wallet. Filter, group and total by customer, type or status for an audit-clean statement.
Issue a card in a click, no plastic
Issue a virtual card instantly — no blank, no printer, killable the moment it's compromised. It renders as a world-class card on the customer portal and here in the back office: gold EMV chip, contactless mark, the number grouped 4-4-4-4, the vehicle or driver, valid-thru and, for prepaid fleets, the available balance right on the face. Each card carries a QR the pump or POS scans to attach it to the sale.
A world-class CR80 card, straight from Odoo
Need plastic? Click Print Card and Odoo renders a print-ready CR80 (85.6×54mm) sized exactly for a direct-to-card printer — Zebra ZC, Evolis Primacy or HID Fargo DTC, each with the right safe print area. Gold chip, contactless mark, the grouped card number, the vehicle/driver identity block and valid-thru on the front; a mag-stripe band, the terms and a scan-at-pump QR on the back. It looks like the fuel card a national network hands out, because it is one.
Limits that actually decline at the till
Set a per-transaction, daily and monthly limit and a petrol/diesel restriction on each card, and a live authorization check enforces them — for prepaid fleets the wallet balance is checked too, so a card can never overspend its balance or its limit. Card PINs are salted, 200,000-round PBKDF2 hashes on admin-only fields, verified in constant time. Freeze or reactivate any card in one click; expired cards flip themselves on a daily cron.
Every card — virtual or plastic — on one screen
Cards are auto-numbered the moment you create them — no manual numbering. The register shows each card's number, its fleet customer, whether it is virtual or physical, its type, assigned vehicle, expiry and status at a glance, so a supervisor sees the whole card estate on one screen, freezes any of them and batch-prints a stack from the list selection.

Tick "Is Fleet Customer" on a contact for an automatic code, then pick Prepaid (a mobile-money wallet) or Postpaid (a credit limit and receivable). Top up the wallet from the customer form or let them request it on the portal — you confirm once the M-Pesa payment lands.
Issue a virtual card in a click or print a CR80 on your Zebra/Evolis/Fargo. Set limits and a PIN, tag POS fuel sales with the card — prepaid wallets draw down automatically and vehicle usage updates on its own — and hand the fleet their portal login.
