Task checklists that govern the stage, not just the box
Delegate checklist items, gate stage transitions until required work is done, and require sign-off where it matters — with clear messaging about exactly what is blocking a task.
Task descriptions and checklists in Odoo's Project app are unstructured text — nothing stops a task from being dragged to Done while sub-steps are skipped. Teams fall back to spreadsheets, Trello-style boards, or a manual review stage that only works if someone remembers to look closely, with no signal at the point of decision that something is missing.
Governed, delegated checklists live directly on the task: items are assigned to individual owners, built from reusable templates, and required by stage. A task cannot advance past a gated stage until its required items — and, where configured, an approver's sign-off — are complete, with the block message naming exactly what is still outstanding.
Everything a compliance-minded team needs
Every capability below is implemented in the module.
Task-Level Checklists
Build a checklist directly on any task: add items, mark them required or optional, and track pending, in progress, done, and blocked states — update one item or many at once with bulk actions.
Item-Level Delegation
Assign individual checklist items to specific teammates, independent of the task's own assignees, so ownership of each sub-step is unambiguous.
Reusable, Stage-Aware Templates
Save a checklist template once and apply it to any task. Tie a template to a project stage and it auto-applies the moment a task enters that stage — no manual setup step.
Stage-Gate Enforcement
Configure any stage to block forward movement until every required checklist item is done — enforced identically whether the task is dragged on the Kanban board or edited on the form.
Transparent Block Messages
When a move is blocked, the task names exactly which items are still open and who owns them — plus a warning badge on the card before anyone even attempts the move.
Approval Sign-Off
Require a Checklist Approver to sign off before a gated stage can advance, per stage — approval resets automatically whenever the stage changes or a required item is reopened.
Governed Overrides
Let an approver push a blocked task through in a genuine exception, with a required, logged reason — enforcement without operational deadlock.
Full Audit Trail
Every completion, approval, reset, and override is timestamped and kept on the task's Checklist History — who did what, and when.
Manager Rollup & At-a-Glance Indicators
One list surfaces every task with open checklist items, alongside progress bars in the Kanban card, the task list, and the form — no more checking tasks one at a time.
How it works
Build or Apply a Checklist
Add items straight on the task, or apply a saved template — including a stage template that appears automatically.
Delegate & Track
Assign items to owners; states and color-coding make progress and ownership obvious at a glance.
Gate the Stage
A gated stage blocks advancement until required items are done and, if configured, an approver signs off.
Resolve or Override
Finish the remaining items to unblock naturally, or have an approver override with a logged reason for genuine exceptions.
See it in action
From the task form to the manager rollup — checklists, gating, and governance in real screens.
The Checklist tab on a task: editable items with status badges, a live progress bar, and a warning banner the moment required items are still open.
Checklist progress rolls straight into the standard task list as a progress bar column — no separate report needed.
A full audit trail on every task: who completed, approved, or overrode a checklist item, and when.
Reusable checklist templates — build once, apply to any task, or tie one to a project stage for auto-apply.
A template's items in one place — sequence, required flag, and everything a new checklist needs.
The manager rollup: every task with an open checklist, its progress, and whether it is still waiting on approval — one screen, not one task at a time.
Frequently asked
What happens on a stage that isn't checklist-gated?
Nothing changes. Stage-gating is opt-in, per stage. Only stages you flag to require checklist completion or approval enforce anything before a task can move forward.
Does the gate apply to Kanban drag-and-drop too?
Yes. Dragging a card and saving the task form both go through the same stage change, so the gate and any approval requirement apply identically wherever the stage is set.
Can we push a task through when items are still incomplete?
Yes, via the Override Stage Gate action, restricted to the Checklist Approver group. Every override requires a written reason and is recorded in the task's Checklist History.
Do templates have to apply to every project?
No. A template can be global or scoped to one project, and can optionally be tied to a specific stage so it auto-applies the moment a task enters that stage.
