Task Delegation, Checklists & Auto-Assignment
by Cerevantix Technologies https://cerevantix.com$ 49.00
Delegate work, enforce what actually gets done.
Reusable checklist templates, per-item approval, completion enforcement and rule-based auto-assignment — layered directly onto native Odoo Project subtasks.
Project teams break big tasks into subtasks and hand them out, but nothing confirms the delegated work was actually finished. Checklists get rebuilt from scratch on every task, quality steps get skipped because nothing blocks progression, and managers have no single view of which subtask or item is the real bottleneck.
Task Delegation, Checklists & Auto-Assignment unifies subtask delegation and checklist enforcement in one workflow: reusable, versioned checklist templates snapshot onto tasks, required items and open subtasks block a task from closing, and a rule engine routes new work automatically — all visible as an inline progress bar, not a drill-in report.
Everything delegated work needs to get truly done
Every capability below is implemented in the module.
Reusable Checklist Templates
Build versioned checklist templates organized into categories such as Onboarding, QA or Deployment. Applying a template snapshots its steps onto the task, so later template edits never change work already in progress.
Bulk Template Apply
Apply a checklist template to one or many tasks at once from a single wizard, choosing whether to append to or overwrite any items already on the task.
Per-Item Approval Gating
Restrict any checklist item to a specific user group, so only an authorized reviewer can mark a sign-off step complete — with the completing user and timestamp always stamped on the item.
Item Dependencies
Chain checklist items so one stays blocked until another is completed first, enforcing the right order of execution for structured, multi-step processes.
Completion Enforcement
Block a task from closing while required checklist items or open subtasks remain, per project toggle — turning "marked done" into work that is actually done. Managers can always force-close.
Inline Progress Rollup
Checklist progress renders as a bar directly on the Kanban card, the task list and the task form header, with a badge for outstanding required items — no drill-in needed.
Auto-Assignment Rule Engine
Route new and stage-changed tasks automatically with round-robin, specific-user or least-loaded rules, ordered by priority so the first matching rule wins.
Project, Stage & Tag Scoping
Scope assignment rules to a specific project, a stage-change trigger, or a matching tag, so routing logic fits each team's own workflow instead of one blanket rule.
Guarded Cascade Cancel
Cancel a task together with all of its subtasks from one confirmation wizard that lists exactly what will be cancelled, with a full chatter audit trail on every task involved.
How it works
Build a Template
Create a reusable checklist template with categories, required steps and per-item approval groups.
Apply & Delegate
Bulk-apply the template to tasks and subtasks, then delegate ownership — auto-assignment rules can route it for you.
Enforce Completion
Required items and open subtasks block the task from closing until the work is genuinely finished.
Track & Report
Inline Kanban and list progress bars, plus a chatter audit trail, show every manager exactly what is outstanding.
See it in action
From reusable templates to enforced completion and auto-assignment — the full delegate-enforce-report workflow.
The Checklist Templates library: reusable, versioned templates organized by category, each showing its step count at a glance.
A template's steps: required flags and per-item approval groups are set once and reused on every task.
Categories such as Onboarding, QA and Deployment keep the template library organized and easy to browse.
Auto-assignment rules ordered by priority, each showing its trigger, routing method and project scope.
A round-robin rule's candidate user pool and last-assigned cursor, configurable per project, stage and tag.
A task's Checklist tab: done toggles, required flags, due dates, and blocked/overdue decorations, with a header progress bar.
Inline checklist progress bars and a required-items badge render directly on the Kanban card — no drill-in needed.
The task list view adds a Checklist % column so managers can scan delegated-work status across every task at once.
A project's Delegation tab: enforcement switches for required checklist items and open subtasks, plus its assignment rules.
The Apply Template wizard bulk-applies a checklist to one or many tasks, with an option to overwrite existing items.
Frequently asked
Does this replace native Odoo subtasks?
No — it builds directly on native Project parent/child subtasks and adds checklists, enforcement, templates and auto-assignment on top, so your existing subtask structure keeps working exactly as before.
What happens to already-applied checklists when I edit a template?
Nothing changes on tasks that already received the checklist. Applying a template snapshots its steps onto the task, so later template edits bump the template's own version number without touching items already applied.
Can I stop enforcement from blocking a specific team?
Yes. Each project has independent toggles for requiring open checklist items and open subtasks before a task can close, and members of the Checklist/Delegation Manager group can always force-close a task.
How does auto-assignment choose who gets a task?
Rules run in priority order using round-robin, a specific pool of users, or least-loaded (fewest open tasks), scoped by project, tags and trigger point — task creation or a stage change — with the first matching rule winning.
