From prorated basic salary and allowances to gratuity, pension, and leave-balance payouts, all amounts are auto-computed and packaged into a dedicated payslip and draft journal entry with a single click. Every calculation, approval transition, and comment is logged in Odoo for comprehensive audit trails and regulatory compliance. Whether you’re managing monthly payroll, expediting settlements, or preparing for audits, this module centralizes your EOS workflow, eliminates manual errors, and elevates employee transparency and self-service. Define End-of-Service Structure

Configure your dedicated End-of-Service payroll structure with specialized salary rules tailored for final settlements. This structure includes components such as basic pay, total allowances, leave balance compensation, gratuity (for expats), pension (for locals), and net settlement. By centralizing these elements under a custom structure type, the system ensures accurate, compliant, and fully auditable end-of-service calculations—all linked to official payslips and journal entries.

Assign End-of-Service Access Rights

Control who can access, compute, and approve end-of-service settlements by assigning the appropriate user group. Under user settings, enable the End of Service role (e.g., "HR") to grant secure access to settlement forms, reports, and related actions. This ensures only authorized HR personnel can view sensitive exit-related data and perform critical EOS operations—protecting compliance while streamlining internal workflows.

Create a New Employee Settlement Request

Initiate the end-of-service process by selecting the employee and entering key separation details such as the last working date, relieving date, and type of separation (resignation, termination, or retirement). The system automatically fetches the employee’s contract, job title, and department, and prepares the form for salary and leave data entry. This draft state lays the foundation for computing final entitlements—ensuring consistency, accuracy, and readiness for approval workflows.

Confirm and Finalize Settlement Details

Once all settlement data is reviewed and approved, move the record to Confirmed status. This locks in key values such as worked days, final entitlements, and employee separation details. Odoo automatically logs each state transition for audit visibility. With the record confirmed, the system is ready to generate the payslip, post journal entries, and produce official EOS documents—ensuring a smooth and compliant exit process.

Review Final Settlement Breakdown

Navigate to the Settlement Amount tab to review the complete breakdown of the employee’s final entitlements. This includes the prorated basic salary based on days worked, compensation for unused leave balances, pension (if applicable), and the total amount payable. All figures are calculated automatically based on contract data and labor policies, ensuring accuracy and compliance. This view helps HR and finance verify the correctness of every component before generating the payslip and closing the employee file.

Verify Payroll & Accounting Integration

Access the Accounting tab to review the financial linkage of the settlement record. Here, you’ll confirm the assigned salary journal, the associated end-of-service payslip, and the applied payroll structure. Once finalized, this section will also link to the accounting entry generated by the system. This ensures the entire EOS transaction flows seamlessly from HR to Accounting—maintaining financial accuracy, audit traceability, and system-wide alignment with your general ledger.

Generate the Official Settlement Form

Produce a professionally formatted Settlement Form PDF by selecting the print option from the action menu. This document includes all employee details, service duration, separation type, detailed earnings and deductions, and the total payable amount. Designed for signature-based approvals, HR files, and employee acknowledgment, the form ensures full transparency and compliance—ready for printing, emailing, or archiving with one click.

Review & Sign the Settlement PDF

Generate and validate the final End-of-Service Settlement PDF, a comprehensive two-page document detailing employee information, salary components, earned entitlements, deductions, and the net amount payable. The report includes a structured approval section for HR, Finance, and CEO sign-off, as well as an acknowledgment and signature line for the employee. Once signed, this document serves as the official settlement agreement—ensuring full transparency, compliance, and audit readiness. If unsigned after 10 working days, the settlement is considered accepted by default
