Hubspot-Odoo Configuration

Hubspot Setup

1. Go to the given link and create a hubspot account : https://www.hubspot.com/
2. Create a Private app

Odoo Instance Setup

1. Create Hubspot Instance
2. Copy the Api key of the private app you just created in hubspot and paste into the "HubSpot App ID" field.
3. Click the "Test API Connection" button. This action is to test the connectivity between hubspot and odoo.
4. To activate the integration functionality click on the "Active" button with the hand icon. And confirm "is_connected" should be checked.
5. Manually push records from odoo to hubspot after last sync date.
6. Manually push records from hubspot to odoo after last sync date.

Contacts/Companies/Deals Configuration


1. Field Mapping

1. Import Contact Fields: By Clicking on "Import Contact Fields" button it will get all the properties from odoo and hubspot from the field mapping of the integration.
2. Go to the "Hubspot Fields Mapper" Menu and view the list of mapping properties.
3. Fields Mapping for the integration: By clicking on the "add line" button add field mapping for the specified module. In this case we mapped contacts field mapping from odoo to hubspot and hubspot to odoo vice versa.


2. Contacts/Companies/Deals Details

  1. Contacts/Companies/Deals Tab
  2. Odoo To Hubspot
    1. Sync Odoo To Hubspot: Synchronize the Contacts/Companies/Deals from odoo to hubspot using scheduler. When you check this checkbox, the Contacts/Companies/Deals automatically sync from odoo to hubspot.
    2. Last Sync Date: Date of the last scheduler run.
    3. Reset Last Sync Date: If you would like to sync historical Contacts/Companies/Deals from your odoo system, then just remove the Last Sync Date and set Reset Last Sync Date.
    4. Odoo Deal Related Contacts/Companies: you would map selection fields of Contacts/Companies/Deals from your odoo system.
    5. Odoo Contacts/Companies/Deals Dropdown Mapping: you would map selection fields of Contacts/Companies/Deals from your odoo system.
    6. Odoo Contacts/Companies/Deals Dropdown Mapping: you would map selection fields of Contacts/Companies/Deals from your odoo system.
  3. Hubspot To Odoo
    1. Sync Hubspot To Odoo : Synchronize the Contacts/Companies/Deals from hubspot to odoo using scheduler. When you check this checkbox the Contacts/Companies/Deals automatically Sync from hubspot to odoo.
    2. Last Sync Date: Date of the last scheduler run.
    3. Reset Last Sync Date: If you would like to Sync historical Contacts/Companies/Deals from your hubspot system then just remove the Last Sync Date and set Reset Last Sync Date.

  4. Engagements
    1. Notes : if you would like to sync Contacts/Companies/Deals associated Note then check the Notes Checkbox.
    2. Tasks : if you would like to sync Contacts/Companies/Deals associated Tasks then check the Tasks Checkbox.
    3. Emails : if you would like to sync Contacts/Companies/Deals associated Emails then check the Emails Checkbox.
    4. Meetings : if you would like to sync Contacts/Companies/Deals associated Meetings then check the Meetings Checkbox.

3. Stage Mapping For Deals

oh_Integration provide you with mapping the odoo opportunity and hubspot deals stages. By clicking the Stage Mapping checkbox you can see odoo and Hubspot Stage Mapping.


Contacts/Companies/Deals Functionality


1. Manually Sync Create/Update a single Contacts/Companies/Deals in odoo to hubspot using "sync to hubspot" button :

Sync a contact/company/deal in odoo, click the "sync to hubspot" button in form view of odoo contact/company/deal. The contact/company/deal sync odoo to hubspot and odoo contact/company/deal is created into hubspot.

2. Manually Sync Create/Update multiple Contacts/Companies/Deals in odoo to hubspot using "sync to hubspot" button :

Sync a contact/company/deal in odoo, click the "sync to hubspot" button in list view of odoo contact/company/deal. The contact/company/deal sync odoo to hubspot and odoo contact/company/deal is created into hubspot.

3. Sync quick Create/Update multiple Contacts/Companies/Deals in odoo to hubspot using Scheduler :

1. Sync odoo to hubspot:

Sync a contact/company/deal in odoo to hubspot. click the "sync odoo to hubspot" checkbox in hubspot Instance page. The contact/company/deal sync odoo to hubspot and odoo contact/company/deal is created into hubspot.

2. Sync hubspot to odoo:

Sync a contact/company/deal in hubspot to odoo. click the "sync hubspot to odoo" checkbox in hubspot Instance page. The contact/company/deal sync hubspot to odoo and hubspot contact/company/deal is created into odoo.

3. Sync odoo to hubspot and hubspot to odoo both:

Sync a contact/company/deal in hubspot to odoo and odoo to hubspot. click the "sync odoo to hubspot" and "sync hubspot to odoo" checkbox in hubspot Instance page. The contact/company/deal sync hubspot to odoo and hubspot contact/company/deal is created into odoo and hubspot.

4. Odoo-Hubspot Logs:

to maintain the integration behavior there is a module called "Hubspot Logger". Where you can see your integration health.
Hubspot Logger will store all the integration activities from odoo to hubspot and hubspot to odoo.
You can prepare the report and get your real time integration health of your system.

1. Notes Synchronization

oh_Integration provides Sync Notes from Odoo to Hubspot and Hubspot to Odoo. if you would like to sync Contacts/Companies/Deals associated with Notes then tick the Notes Checkbox. There are two ways to fetch Notes one is Manually and second one is Scheduler.

2. Tasks Synchronization

oh_Integration provides Sync Tasks from Odoo to Hubspot and Hubspot to Odoo. if you would like to sync Contacts/Companies/Deals associated with Tasks then tick the Tasks Checkbox. There are two ways to fetch Tasks one is Manually and second one is Scheduler.

3. Meetings Synchronization

oh_Integration provides Sync Meetings from Odoo to Hubspot and Hubspot to Odoo. if you would like to sync Contacts/Companies/Deals associated with Meetings then tick the Meetings Checkbox. There are two ways to fetch Meetings one is Manually and second one is Scheduler.

4. Emails Synchronization

oh_Integration provides Sync Emails from Odoo to Hubspot and Hubspot to Odoo. if you would like to sync Contacts/Companies/Deals associated with Emails then tick the Emails Checkbox. There are two ways to fetch Emails one is Manually and second one is Scheduler.

Installation

  1. Prerequisites
    • Python 3.7 or later
    • Odoo 16.0 and Odoo 17.0
    • Sales Module, CRM Module, Invoicing Module
    • we need to create 7 additional fields into hubspot.
      1. Contacts :
        • odoo_id(Single-line text) (This field will contain odoo record id)
        • sync_odoo(Single checkbox) (This is the checkbox field and based on the selection integration will sync the record from hubspot to odoo)
      2. Companies :
        • odoo_id(Single-line text) (This field will contain odoo record id)
        • sync_odoo(Single checkbox) (This is the checkbox field and based on the selection integration will sync the record from hubspot to odoo)
        • email(Single-line text) (This field will contain odoo record id)
      3. Deals :
        • odoo_id(Single-line text) (This field will contain odoo record id)
        • sync_odoo(Single checkbox) (This is the checkbox field and based on the selection integration will sync the record from hubspot to odoo)
