Overview

  This module facilitates managing the project budgets, progress claims and retention policies.
  This module is designed to automate and simplify the claim process.
  Auto-calculate the Retention, advanced payments and tracking claims to date.
  With this module, users can efficiently handle all financial aspects of a project, from initial budget allocation to final claim settlement.

Features of Progress claims and Retention policy:

Access Rights:

Once installed the module needs to select the Progress Claim check box in the user settings.

Key Features and Application Designs:

1. Project Budget Allocation:

  • The budget is allocated for the project.
  • Users should click the progress claims smart button.
  • The Main Claim Setup is automatically created with the total contract value (budget amount).

2. Main Claim Setup:

  • In the main claim setup total contract value will be auto fetched from the Project Budget Allocation.
  • User can able to define the various works and their respective amount and ensure the total matches the overall project budget

3. Creating a Claim:

  • Once the main claim is set, click the "Create Claim" button.
  • A new claim is created with the details from the main claim
  • Users must set the particular claim’s retention percentage, advance percentage, and tax.
  • In the created claim, allocate the current claim percentage for each work by Clicking Set Claim percentage.
  • Once the Current claim percentage is set then Claimed to date percentage, claimed to date and current claim% will be auto updated.
  • Based on the configuration of retention and advance percentage, for each claim Retention and Advance amount will be autocalculated.

4. Claim Approval and Invoicing:

  • Send by email to Customer.
  • Approve the claim.
  • Once the claim is approved the invoice button will be enabled.
  • Users can create an invoice against a particular claim.

5. Creating Subsequent Claims:

  • Use the "Create Claim" button and generate a new claims


  • Automatically fetch previously approved amounts and claim-to-date percentages.
  • Able to see the details of the previous claims.
  • Continue claiming new percentages for the work until 100% of the claim is done.
  • Once 100 % claimed no other claims can be created.

6. Retention Management:

  • In the project, access the "Retention Management" page.
  • Every claim the retention amount is calculated. Consolidate all the retention amount and the amount is auto updated in the total retention amount in the project.
  • For each claim, set due dates, and configure email reminders.
  • Once the due date is reached the scheduler runs automatically and sends the reminder to the finance team.

7. Claims Report:

  • Print detailed reports for all claims to maintain comprehensive records and facilitate easy review.
