In the Document Expiry module, any type of document can be included, such as employee documents, company documents, or other documents. In this module, we have configured an email reminder for expiry. The selected expiry date is used, and a reminder is sent to users' emails on that date. If the document is not renewed and the expiry date arrives, the document becomes expired. In this case, a 'Renew' button becomes visible, allowing the user to easily renew the document.

Go to Document Expiry >> Configuration >> Document Type.



The user will create employee-wise documents, filling in all the required information and attaching multiple documents as necessary.

After this, the user will configure the expiry email configuration the notification date.

The user will click the "Submit" button to confirm the document, which will then move to the Confirm stage.

After confirmation, an email is sent to the manager.

If multiple managers have been configured, all the configured managers will receive the email. Additionally, you can view the chatter, as shown in the screenshot below.

After the user confirm the document, the manager will see an "Issue" button.

When the manager click the "Issue" button, the document will move to the "Issued" stage.

Once the document is issued, a reminder email will be sent to the user.

If the document has expired, it can be renewed.
When the document expires, the user will also be able to view the chat sent by the manager.

The user will also receive an email regarding the expired document.

The expired document is renewed by the manager by clicking the "Renew" button.

After the Renew document by manager an email is sent to the user, as shown in the screenshot.

When the manager renew the document, the user will be able to view the 'renew stage' and modify the document to renew it.

What is the purpose of the Document Expiry Tracking module?
The purpose is to ensure that users receive notification emails both before and after a document's expiration.the system manages the expiry dates of various types of documents, including employee records, company-related documents, and other relevant files.
How do the email reminders work?
Configurable email reminders are automatically sent to users based on the selected expiry date, notifying them in advance about upcoming document expirations.
What happens if a document is not renewed before the expiry date?
If a document is not renewed prior to its expiry date, it will automatically be marked as expired.
How can I renew an expired document?
When a document expires, a "Renew" button appears, allowing you to easily renew the document through the manager.
