for Odoo
HR Letters, Requests & Offboarding Suite by Kaizen Principles streamlines HR administration while safeguarding data consistency. Employees can request Employment, Salary, and Salary Transfer letters; submit Health Insurance and Visa requests; and file Resignations with Exit Interview & Exit Clearance all in one place. Administrators define clear approval steps (HR - HR Manager), while forms auto-fill from employee and contract records to cut errors. Each case gets a unique reference for auditability, PDFs are generated from standardized templates, and bilingual (EN/AR) fields are supported. The result: faster turnarounds, cleaner worklists, and better compliance without adding new menus or complex workflows.

HR Letters, Requests & Offboarding Suite
Gain full control over HR requests employees submit, track, and download Employment, Salary, and Salary Transfer letters, Health Insurance and Visa requests, plus Resignation, Exit Interview, and Exit Clearance documents in real time through a secure, branded portal. All forms auto-populate from HR and contract records, generate standardized PDFs with a click, and follow clear HR - HR Manager approvals minimizing errors and manual back-and-forth. Every state change, comment, and download is logged in Odoo for full audit trails and compliance, with unique references on every case. Whether youâre standardizing letters, accelerating approvals, or preparing for audits, this module centralizes HR workflows, improves data accuracy, and elevates employee self-service complete with bilingual (EN/AR) fields and GCC-ready salary/pension logic.
Assign Employment Letters Access (HR Team)
Open Settings - Users, select the target user, then in Other - Employment Letters choose HR Team. This grants the user permission to create, review, and approve Employment/Salary/Salary Transfer letters, with chatter logging and PDF generation. Apply the same setting to all HR users who should handle letters.
Generate HR Letters from Employees List
Go to Employees - Letters and choose the needed document Employment Letter, Golden Visa Letter, Salary Transfer Letter, or Salary Letter. Select an employee (or open their record), then launch the letter; the form auto-fills from HR/Contract data. Review, adjust if needed, and print/download the PDF. Use this menu to standardize letters and speed up issuance directly from the employee directory.
Choose Address Type & Recipient
On the Employment Letter form, set Address Type to Entity or To Whom It May Concern. If you pick Entity, select the recipient under Employment Letter Address To (banks, embassies, etc.). The employee details auto-fill from HR/Contract review, adjust if needed, then save and print the PDF.
Create or Manage Employment Letters
Go to Employees - Letters - Employment Letter to see all requests. Click New to create a letter, or use the Letters dropdown to switch to Golden Visa, Salary Transfer, or Salary Letter. Open any row to review details, update the address type, and print/download the PDF. Use the search and filters to quickly find specific employee letters.
Preview & Print the Arabic Employment Letter
After saving the request, click Print - Employment Letter to open the PDF preview. Review the Arabic layout and details (recipient, employee info, subject/body, footer), then use the toolbar to download, print, or attach to chatter for approval and record-keeping. If any field needs correction, close the preview, update the form, and reprint to regenerate a clean PDF.
Create a Salary Transfer Letter
Open Letters - Salary Transfer Letter and review the auto-filled details: employee info, Bank Name (from the employeeâs bank account), and Total Salary (from the contract). If a field is empty, update the employeeâs record (bank account or contract), then return and refresh. Save the letter and use Print to generate the PDF for the bank.
Create or Manage Salary Letters
Navigate to Employees - Letters - Salary Letter to view all salary letter requests. Click New to generate a new letter, or use the Letters dropdown to switch to Employment, Golden Visa, or Salary Transfer letters. Open a record to review auto-filled details, then save and Print to produce the PDF.
Complete the Salary Letter Details
On the Salary Letter form, choose the Address Type (Entity or To Whom It May Concern), then review the auto-filled fields Employee No, Job Title, Joining Date, Nationality, Emirates ID, Total Salary, and Deductions (computed from the contractâs pension rules). If any value is missing or incorrect, update the employee/contract record and return to refresh. Save the letter, then use Print to generate the PDF for sharing.
Start Employee Off-boarding: Resignation / Exit
Go to Employees - Employee Off-boarding and choose Resignation Form to create a new resignation notice (click New). Use the same dropdown to switch to Exit Clearance or Exit Interview and manage the remaining steps. Track each case by Notify On and Status, and attach supporting documents as needed.
Submit Resignation for Approval
Review the auto-filled details (Employee, Notify On, Last Working Date, Leaving Reason) and add any Remarks or attachments in the chatter. When ready, click Submit for Approval to move the request to Waiting Approval; use Cancel if the request should be withdrawn. Track progress via the status bar (Draft - Waiting Approval - Approved/Rejected/Cancelled) and keep stakeholders informed with Send message / Log note / Activities.
Review & Approve Resignation Request
The request is in Waiting Approval. As HR/Manager, verify the details (Notify On, Last Working Date, Leaving Reason) and use the top buttons to Approve, Reject, or Cancel. Add notes or attachments in the chatter, or create Activities to follow up; the status bar will update accordingly. Once approved, proceed with Exit Interview and Exit Clearance.
Resignation Approved Print Confirmation
The resignation is now in Approved status. Use Print to generate the official confirmation PDF and share it via chatter or email; the activity log on the right keeps the full approval trail. If a correction is required, you can still Reject to revert and request updates.
Preview & Download Resignation Confirmation PDF
After approval, click Print - Resignation to open the confirmation PDF. Review employee details, leaving reason, notify/last working dates, and remarks, then use the viewer toolbar to download, print, or attach to chatter. If the logo appears missing, upload it under Settings - Companies and reprint.
Start Exit Clearance
Go to Employees - Employee Off-boarding - Exit Clearance and click New to open a clearance request. The form will auto-fill employee details; route it through approval and coordinate IT, EHSS, and department handovers. Use filters and the search bar to track clearances by employee, department, company, or state
Fill Exit Clearance Details & Submit
Complete the Exit Clearance form verify employee info, add communications, HR personal details, passport data, and IT declarations (forwarding, equipment, generic accounts). When ready, click Submit for Approval to route the request through the clearance workflow.
Review & Approve Exit Clearance
The clearance is in Waiting Approval. As HR/Manager, verify all sections Communications, HR Personal Info, Passport, IT Information and confirm attachments/acknowledgment. Use the top buttons to Approve, Reject, or Cancel, and log notes or schedule Activities to coordinate with departments. The status bar and chatter keep the full approval trail.
Exit Clearance Approved Print & Share
The clearance is now Approved. Click Print to generate the official exit clearance PDF, then share it via chatter with IT, EHSS, and HR for records. The right-hand log shows the full approval trail; if something needs correction, you can still Reject to send it back for updates.
Preview & Download Exit Clearance PDF
After approval, open Print - Exit Clearance to review the generated PDF with employee header, HR/Communication/HR Services sections, and instructions. Use the viewer toolbar to download
Start an Exit Interview
Go to Employees - Employee Off-boarding - Exit Interview and click New to create an interview for a departing employee. Use the dropdown to switch between Resignation Form and Exit Clearance if needed. Capture reasons for leaving, ratings, and comments to support HR analytics and process improvements.
Fill Exit Interview & Submit for Approval
Complete the Exit Interview form: select reasons for leaving (check the applicable boxes), add any notes under circumstances, and answer the satisfaction questionnaire. Verify the auto-filled employee and position details, then click Submit for Approval to move the interview to the review workflow. Use the chatter to add comments or follow-up activities as needed.
Review & Approve Exit Interview
The interview is in Waiting Approval. As HR/Manager, review the selected reasons, written circumstances, and satisfaction questionnaire. Use the top buttons to Approve, Reject, or Cancel, and add notes or Activities in the chatter to coordinate follow-ups. The status bar records the full trail for audits.
Exit Interview Approved Print & Share
The exit interview is now Approved. Click Print to generate the interview PDF and share it via chatter for records and analytics. If something needs correction, you can still Reject to send it back for updates; the status bar and log keep the full audit trail.
Preview & Download Exit Interview PDF
Open Print - Exit Interview to review the generated PDF with employee header, HR Service notes, and the full satisfaction questionnaire responses. Use the viewer toolbar to download, print
Open Health Insurance Requests
From Employees - Employee Benefits, choose Health Insurance to view and manage requests. Click New to create one, then fill personal details, attach documents, and submit for HR - HR Manager approval. Use the search and filters to find requests by employee, department, or status.
Fill Health Insurance & Send to HR Team
Complete the Health Insurance request with applicant details and any Attachment File (e.g., passport, forms). Verify the auto-filled employee/position/company fields, choose the Type of Request (Self/Status Change/Family, etc.), then click Send To HR Team to move the request to the first approval stage.
HR Team Review - Send to HR Manager
The request is in HR Team stage. Verify the applicant details and attachments, update notes in the chatter, and mark the planned activity when done. Click Send To HR Manager to escalate for final approval, or Reject to return it with feedback.
HR Manager Approval Health Insurance
The request is now at HR Manager stage. Review the applicant details and attachments, update or comment via chatter, then click Approve to finalize or Reject to return with feedback. Planned activities on the right help track follow-ups and keep an auditable trail.
Health Insurance Approved Finalize & Record
The request is in Approved status. Notify the employee, archive the approval in chatter, and proceed with insurer submission or card issuance as per your process; planned activities keep the audit trail complete.
Open Visa Requests
Go to Employees - Employee Benefits - Visa Request and click New to create a visa application. Choose the request type (Employment/Residence/Visit), fill the auto-populated personal details, attach supporting documents, and submit for HR - HR Manager approval. Use search/filters to track requests by employee or status.
Fill Visa Request & Send to HR Team
Complete the Visa Request form with personal and passport details, contact numbers, and any Attachment File (passport/COC/etc.). Choose Type of Request (Employment/Residence/Visit) and Type of Action (New/Renewal/Transfer/Correction). When ready, click Send To HR Team to start the approval flow
HR Team Review - Send Visa to HR Manager
The visa request is at HR Team stage. Validate personal/passport details and attachments, add any notes in chatter, then click Send To HR Manager to escalate for final approval or Reject to return with feedback. Planned activities on the right help you track follow-ups and maintain an audit trail.
HR Manager Approval Visa Request
The visa request is at HR Manager stage. Review personal and passport details, confirm attachments, and use the top buttons to Approve or Reject with feedback
Visa Request Approved Finalize & Record
The visa request is now Approved. Notify the employee, attach any approval proof in the chatter, and proceed with PRO/immigration submission as per your process. Mark planned activities as Done to keep the audit trail complete, or schedule follow-ups if external steps are pending.
