New Feature - Vaccination Management

Overview

The Vaccination Management feature in the Veterinary Management Module allows tracking of patient vaccinations, managing vaccination products, and generating related invoices. It includes stock movement tracking for vaccines and automated email reminders for customers. This helps ensure effi cient vaccine management and timely customer communication.

Vaccination Form Menu:

Added a new menu called “Vaccination Form” to maintain vaccination records.

Vaccination Form View:
  • The Vaccination Form includes three stages: Draft, Confirmed, and Done.
  • When the Confirm button is clicked, the form moves to the Confirmed stage and all fields become non-editable.
  • When the Appointment ID is selected, it automatically fetches the patient details, owner name, and doctor name.
  • Under the Vaccine field, you can select the required vaccine product for invoicing; only products with available stock will be displayed.
  • The Next Dose Date is used to send an automatic reminder to the patient 2 days before the scheduled dose.
  • The Note field allows you to add any reference or remarks related to the vaccination form.
Invoice creation and Stock Movement:
  • When the Create Invoice button is clicked, it generates an invoice for the selected vaccine product and also creates a stock transfer to manage the stock movement—all in a single click.
  • The Vaccination Form provides a redirection fi eld to view the related Invoice and Delivery Order for easy reference.
Vaccination Product:
  • Under Vaccination Products, only vaccine-related products are visible, not all products.
  • New Vaccine Products can be created directly from this view.
  • The On-hand Quantity of each product is displayed clearly in the list view.
  • Users can create Purchase Orders and receive products, which will automatically increase the on-hand quantity of the vaccine products.
Patient master vaccination history:
  • A separate section is available under the Patient Master to manage the complete vaccination history for each patient.
  • It displays details such as Appointment ID, Patient Name, Doctor Name, Vaccination Date, and more in a clear list view format.
Reminder Mails:

An automated reminder email is sent 2 days before the scheduled Next Dose Date, ensuring timely follow-up on patient vaccinations.

An automated reminder email is sent 1 day before the scheduled Next Dose Date to ensure timely vaccination follow-up.

An automated reminder email is sent on the same day as the scheduled Next Dose Date to ensure timely vaccination follow-up.

An automated reminder email is sent after the Next Dose Date if the dose is overdue, marking the reminder as expired.

Workflow:
  • The inbuilt vaccination product will be available once the module is installed.
  • Navigate to Veterinary Management -> Vaccination -> Vaccination Form to create a new vaccination form and begin the process.
  • After entering all vaccination details, click Confirm to finalize the vaccination, making all fields non-editable.
  • Clicking the Create Invoice button will generate an invoice and create a stock movement transfer record instantly.
  • Based on the Next Dose Date, reminder emails will be automatically sent to the patient.
  • All vaccination form records will be managed as history under the patient's record for future reference.

Pre-configured Veterinary Diseases

System has 117 pre-configured list of Veterinary diseases and user can create more. User can maintain extra information like nature of diseases, causes behind same and primary care to be taken into consideration against the diseases. Diseases history can be maintained for the patients.

Pre-configured Lab Test

System has 17 pre-configured lab test and user can create many more. In lab test request we can select appropriate test to be performed on the patient and that can be invoiceable.

Pre-configured X-Ray Test Type

System has 16 pre-configured list of dental X-ray test type and user can create more as per need. X-ray type type are used to manage X-ray results in the system in details.

Patient details can be maintained

Patients details can be maintained along with pet-owner details, pet type, breed, Insurances , Diseases , Socio-Economic conditions , Lab Tests.

Patient Family details can be maintained

System allows maintaining family details of the patient. Patient belonging to one pet owner can be list out.

Appointments with Prescriptions can be maintained

Appointments can be maintained with prescription and Pediatric Symptoms checklist if applicable. System can generate invoice if record is Invoice exempted.

Lab Request can be maintained

All lab request can be maintained for the patients. Lab request can be invoiced. Lab result can be maintained and report can be print for the same.

X-Ray Can be maintained

System has facility to maintain all x-ray request against any patient. System can create more than one X-ray request at a time. Once processed X-ray results can be stored in system as an attachment. System is able to store its results as per date and time of X-ray request.

Patiant Hospitalization

Records of the patients admitted in the hospitals can be maintained. In this, information like Diet and Nutrition of the patient , care plan etc are added as well. ICU details can also be maintain for the same.

New Born details can be maintained

New Born Record can be created in which details like Neonatal Signs and Symptoms , Neonatal Reflex check etc can be recorded.

Patient Billing

System provides an option to do Patient Billing against Scheduled Appointment, Prescriptions and Lab Tests. Maintaining patient billing is simple and easy.
