Families

• Families: Allows the creation and management of family records within the system.


• Family Members: Enables the addition of family members and related details directly under each family record, along with any extra information.

Pet Owner

• Pet Owners: Users can create and manage pet owner records, including their contact details and linked pets.

Patient Master

• Patient Master: Allows the creation of patient records with basic details such as name, date of birth, gender, and general information.


• Diseases: Users can add the patient’s diseases in the Diseases tab.


• Medications: Any medications the patient is taking can be added in the Medications tab.


• Appointments: Displays all appointments created for the patient in a dedicated appointments page.


• Genetic Risks: If the patient has any genetic risks, they can be recorded in the Genetic Risks tab.


• Lab Tests: All created lab tests for the patient are displayed in the Lab Tests tab.


• Lifestyle: Lifestyle information such as diet plans, exercise routines, and habits can be added in the Lifestyle tab.


• Surgeries: Any surgeries the patient has undergone can be recorded and viewed in the Surgeries tab.


• Vaccinations: Records all vaccinations administered to the patient, including vaccine type, date, and next due schedule.


• Evaluation: Allows veterinarians to record and review medical evaluations such as health assessments, physical exams, and follow-up observations.

Patient Complaints

• Patient Complaints: Allows adding and managing patient complaints through the Patient Complaints menu. Each complaint progresses through three stages — Pending, In Progress, and Done — to track the resolution status efficiently.

Appointments

• Appointment ID: Unique identifier for each appointment.


• Patient Details: Displays the patient’s name and status.


• Owner Information: Shows the pet owner’s name linked to the patient.


• Appointment Timing: Includes start and end date/time for the appointment.


• Duration: Displays the total duration of the appointment in hours and minutes.


• Physician/Doctor: Shows the assigned veterinarian for the appointment.


• Urgency Level: Indicates the priority of the appointment.


• Consultation Service: Displays the service associated with the appointment, such as lab tests or medical procedures.


• Invoice Status: Tracks billing, including whether the appointment is invoiced or exempt.


• Status Bar/Stages: Tracks appointment workflow through stages such as Draft, Confirmed, and Done.


• Info: General appointment notes and details.


• Prescriptions: All prescriptions created for this appointment will be displayed in the Prescription tab.

• Create Invoice Button – Allows users to generate an invoice directly from the appointment form for the selected services, streamlining billing without navigating to a separate menu.


• Appointment Wizard – Allows users to check if any appointments are scheduled on a particular date, helping in quick scheduling and avoiding overlaps.

Inpatient

Patient Hospitalization Administration

Patient Information

• Patient: Links the record to the associated patient.


• Hospital Bed: Records the patient’s current physical location.


• Attending Physician: Primary doctor responsible for overall care.


• Operating Physician: Surgeon responsible if a procedure is performed.

Status & Planning

• Current Status Bar: Tracks the patient’s progress in the hospitalization workflow (Initialization, Confirmed, Hospitalized, Discharged).


• Expected Discharge Date: Planned date and time of release.


• Reason for Admission: Records the clinical reason for hospitalization.

Operational Tools

• Bed Transfer: Logs and updates patient movements between beds.


• Discharge Patient: Completes hospitalization and finalizes the record.

Care & Documentation Tabs

• Nutrition: Documents diet, feeding route, and nutritional needs.


• Medication: Displays the Medication Administration Record (MAR).


• Care Plan: Contains nursing and clinical goals with interventions.


• ICU: Specific documentation for intensive care cases.


• Transfer History: Records all past bed transfers with details.

Identification & Context

Imaging

Imaging Request

• Add Patient: Select the patient for whom the imaging request is created.


• Select Imaging Test: Choose the required imaging test.


• Assign Doctor: Link the request to the doctor who ordered the test.

• Create Lab TestWhen clicked, it creates a result in the Laboratory →Lab Test Results menu, where we can set and add the test values.

• Create InvoiceWhen clicked, it generates an invoice for that particular lab test.

Laboratory

Laboratory Test Workflow

• Add Patient: Select the patient for whom the lab test is requested.


• Select Test Type: Choose the laboratory test.


• Assign Doctor: Link the request to the doctor who ordered the test.

• Create Lab Test: Creates a result in Laboratory → Lab Test Results, where values can be added.


• Create Invoice: Generates an invoice for the selected lab test.

Pediatrics

Newborn Information

• Newborn ID: Automatically generated unique identifier for each newborn record.


• Mother & Doctor in Charge: Links the newborn to the mother and the responsible veterinary doctor.


• Birth Details: Captures essential data such as Date of Birth, Sex, Length, Weight, and Discharge Date/Time.


• Picture: Option to upload or capture the newborn’s photo.

Deceased Details (if applicable)

• Stillbirth / Died at Hospital / Died at Delivery Room / Died in Transfer: Checkboxes to record specific circumstances of death.


• Time of Death & Cause of Death: Allows entry of exact time and reason for medical records.


• APGAR Assessment: Records newborn condition through parameters like Appearance, Pulse, Grimace, Activity, and Respiration.

Invoices

• Invoice Menu: Displays all pending records from laboratory requests, appointments, and prescriptions that are not yet invoiced. Helps ensure no revenue is missed and allows quick invoice creation from pending services.


• Lab Requests to be Invoiced: Shows all pending laboratory requests awaiting billing, enabling users to review and generate invoices easily.


• Today’s Lab Requests to be Invoiced: Displays today's laboratory requests that are still pending invoicing, enabling fast billing for the day’s tests.



• Appointments to be Invoiced: Lists all patient appointments that have not yet been invoiced, ensuring consultations/services are billed properly.


• Prescriptions to be Invoiced: Shows prescriptions pending billing, allowing users to generate invoices directly from prescription records.

Surgery

• Surgery Details: Includes patient, condition, surgeon, anesthetist, and surgery duration.


• Safety Checklist: Ensures all pre-surgery checks like sterility, antibiotic administration, and oximeter setup.


• Procedures Section: Allows recording of surgical procedures and detailed notes.


• Anesthesia Report: Captures anesthesia details, drugs used, and any incidents during surgery.


• Stages: Tracks workflow states such as In Progress and Done.

Vaccinations

• Vaccination Products: The module includes 20 built-in vaccinations automatically loaded during installation, and users can add new vaccinations as needed.

Vaccination Form

• Unique ID: The record's unique sequence number.


• Patient & Owner: The animal's name, unique ID, and owner details.


• Vaccine Administered: The specific name of the vaccine given.


• Administering Doctor: The veterinarian responsible for administering the vaccine.


• Appointment Link: Linked appointment or visit reference.


• Next Follow-up: The scheduled date for the next required dose.


• Notes: Any observations or remarks recorded by the doctor.


• Status: Statuses include Draft, Confirmed, and Done. Clicking Confirm changes the status from Draft to Confirmed.

• Create Invoice: Clicking Create Invoice generates a confirmed invoice, auto-completes the delivery operation, and changes status to Done.

Vaccination Reminder Functionality

• Automatic Email Alerts: Sends reminder emails before the next vaccination dose.


• Reminder Intervals: Emails are sent 2 days before, 1 day before, and on the scheduled date.


• Expiry Notification: If the date has passed, an expiry alert email is sent automatically.


• Activity Log: All sent notifications are logged in the vaccination record.

Dashboard

• Appointments: Displays the total active or upcoming appointments.


• Today's Appointments: Shows the appointments scheduled for the current day.


• Admitted Pets: Indicates the total number of pets currently admitted in the system.


• Emergency Cases: Displays the total number of emergency cases recorded in the system.


• Today's Lab Tests: Shows the total number of lab tests scheduled or conducted today.


• Surgeries: Represents the total number of surgeries performed or planned.


• Revenue: Provides a quick financial summary for the selected period.

Date Filtering

• The dashboard includes a date filter with predefined options: Today, Last 3 Days, Last 7 Days, Last 30 Days, Last 90 Days, and Last 365 Days.


• Selecting a date range updates all KPI cards and charts dynamically for the selected period.


• Supports period-based reporting for Appointments, Admitted Pets, Emergency Cases, Surgeries, Revenue, and service or doctor performance.

Service-Based and Doctor-Based Analysis (Bar Charts)

• Service-Based Appointments: Breaks down appointments by type of service or procedure to highlight the most frequent services and help in operational planning.


• Doctor-Based Appointments: Shows workload distribution among doctors to identify who handles the most appointments.


• Doctor-Based Revenue: Displays each doctor's contribution to revenue, linking workload to income generation.
