TOOLS EQUIPMENT MANAGEMENT
We developed this addon to manage the details of tools requests, tools issues, tools approvals and tools returns.
Managing tools and equipment manually can often lead to inefficiencies such as misplaced assets, lack of accountability, delayed maintenance and inaccurate tracking.
The Tool Management module in Odoo is designed to address these challenges by providing a centralized and automated system to manage the complete lifecycle of tools within an organization.
This module is built for you if:
- You need to track tools and equipment efficiently across your organization
- You are facing issues with lost, misplaced or untracked tools
- You require a system to manage tool requests and approvals
- You need better visibility of available vs issued tools
How Organisations Use This Module
Tool Request Creation
Employees initiate the process by creating a Tool Issue Request from the system.Select required tools or equipment.
Submission for Approval
Once the request is finalized, it is submitted and moved to the "Submitted" stage.Managers or authorized users review the request.
Approval Process
After review, the request is move to the "Approved" stage.Tools are officially assigned to the requester.
Tool Usage & Tracking
Tools are marked as issued, allowing the organization to track who is using each tool and for how long.

Tool managers can review and approve or refuse equipment requests. The system supports approval, withdrawal and status transitions with complete audit trails.

Storekeeper controls equipment inventory and issuance. Barcode scanning enables quick equipment identification and automatic tracking of issued tools with returns dates.
Calibration Management
Automated calibration requests to certified vendors. Tracks certification status, next due dates and automatically sends. reminders before calibration deadlines.
Complete Audit Trail
Every action approvals, rejections, issuance, returns and calibrations is logged and traceable. Full accountability and compliance with equipment management standards.
Equipment Configuration
Flexible setup for equipment categories with return dates and calibration reminder settings.Configure calibration vendors and automation rules at the category level.
Kanban view of equipment states
In Tools Management --> Equipment --> Tools Issue Request.
We can easily see all the equipment's state in kanban view.
The user has created the tools request and submitted the request; the state will be moved to submitted and the submit button will hide.
Approvals stage of tools request
In Tools Management --> Approvals --> All Approvals
When you select All Approvals from the manager login, all approvals get shown, which are assigned to managers.
Approvals To Review
In Tools Management --> Approvals --> Approvals To Review
When you select approve to review from the manager login, only show approvals that are assigned to the login manager.
Issue request for the tools
In Tools Management --> Equipment --> Tools Issue Request
The store keeper scans the product, which is approved by the manager. After scanning the product, the equipment and return date will be updated automatically. The store keeper issues the approved tools request.
After issuing the request, an email will be sent to the requester from the store keeper.
Process for receiving the issued tools
In Tools Management --> Equipment --> Tools Receive
After receiving the tools from the requester, the store keeper can receive the tools.
After receiving the tools, the receive button will be hidden, the issued state will be moved to available and the actual return will be updated automatically.
Calibration request
In Tools Management --> Calibration --> Calibration Request
Scan the product and the related equipment and calibration vendor will be shown automatically.
When the calibration date is updated in an in-progress state, the next due date, reminder date and daily reminder date will be updated automatically.
After the calibration date is updated, the request is moved to certified.
