1. User Configuration.

Once you install the module goto
setting -> User and Companies -> user
Grant External Archive Admin access to users whose databases you wish to delete, and assign External Archive Manager access to users for whom you intend to offload and retrieve data.

2. Data Offload / External Archive Manager Module.

Once configured, the user will be able to see the 'Data Offload / External Archive Manager' module.

3. Database Connection.

You need to configure a host, database, user, and password. Set up the databases from which you want to offload records.

4. Archive Model Configure.

Here, we have configured a sales order model, and for offloading field data, we have selected the Total, Signature, and Untaxed Amount fields.

For the offload mode, we have chosen Manual, but you can also select Manual, Scheduled, or Manual + Scheduled. The same options apply for the delete mode.

Delete Rules: This will delete records from your database after the configured number of days.

Offload Schedule and Delete Schedule: You can schedule the offload process to run daily or at a specific time, with a customizable batch size. The same options apply for the delete schedule.

5. Sale Order.

Here you can see the Offload, Retrieve and Delete button in the Sale Order.

6. Before Offload.

Here, you can see that the signature field contains data before the offload process.

7. Before Offload Size.

The 'Total Amount' and 'Amount Untaxed' fields represent the data size prior to the offload process.

8. After Offload.

Here, you can see that after the offload, the fields you configured have been offloaded to the database.

9. After Offload Size.

After the offload process, the configured fields will have been offloaded, and their size in the database will be cleared or empty.

10. Offload Database.

Here, you can see that the data has been offloaded to the configured database.

11. Retrieve.

Here, you can see that the field data has been retrieved once you click the Retrieve button.

12. Delete.

Once you click the Delete button, a pop-up will appear. After you click 'OK', the data from the configured database will be deleted.

13. Database Record Delete.

Here, you can see that the record has been deleted from the database.

14. Multiple Offload, Retrieve and Delete.

If you want to offload, retrieve, or delete multiple records, you can do by selecting multiple record and used External Offload, External Retrieve, and External Delete as per you requirement.
