Bring accountability to employee worklogs

When timesheets can be edited anytime and managers have limited visibility into employee activity, maintaining accurate work records becomes difficult. Employee Performance management web app (EPMS) enhances Odoo’s workforce management by introducing structured control over timesheets, employee records and system access. Employee records can be automatically created from user accounts, including those created through the mobile application. Managers can be assigned directly within employee profiles, helping organizations maintain clear reporting structures. Administrators gain operational visibility through the Active Sessions dashboard, where they can monitor login activity, device details and user sessions across the system. The module also introduces Automated Timesheet Freeze, allowing administrators to define a time window during which employees can edit or delete timesheets. Once the configured interval passes, entries are automatically locked, ensuring accurate work tracking. Through integration with the EPMS mobile module, the system can also deliver real-time mobile push notifications using Firebase cloud messaging, ensuring employees stay informed about approvals, updates and alerts.

Employee records are automatically generated from user accounts, including those created through mobile signup. This removes manual HR data entry and ensures every system user has a corresponding employee record.

Active sessions monitoring

Automated timesheet freeze

Organizations can define a time window after which timesheets automatically become locked. This ensures employees cannot modify entries beyond the allowed timeframe, preserving the integrity of work logs.

Configurable freeze interval

The freeze interval can be configured in Odoo settings using hours or days. This flexibility allows companies to align timesheet rules with their internal policies.

Controlled timesheet editing

Employees retain flexibility to update or delete timesheets within the allowed window. After the freeze period expires, the entries become permanently locked.

Real-time mobile push notifications

Through integration with Firebase Cloud Messaging, the system can send real-time notifications from Odoo to employees’ mobile devices when approvals, alerts, or updates occur.

Device-specific notification delivery

Each device is identified using an FCM token stored during mobile login, ensuring that notifications reach the correct employee device reliably.

A Folio (document encompassing all functionalities of hotel management under one reservation number) is created once a guest successfully checks-in which reflects as a standard sales order

Define the types of documents of customers to be stored/maintained

Recording details of the documents against reservation

With every reservation, hoteliers can record the documents against reservation number with adding attachments of documents into reservations

Platform to register advance received by customers

With every confirmed reservation, hoteliers can record the money paid by customer as an advance. Various payment methods will be enabled to record payment transactions.

Advance payment in reservation, folio and invoices

All advance payment/s are recorded against reservations Once an invoice is created the advance trasnaction will automaically come up for reconciliations.

Configure masters to cab, drivers and possible destinations of pick up

Configure vehicles, masters of transporters, destination locations to have seamless pick up transactions

Processing of cab picking task during reservation

Hotel reservations are enabled with pick up options with paid/unpaid categories. Paid pickups will further processed during invoicing along with hotel reservation.

Define various services offered as Amenities

Hoteliers can define various amenities like spa, gymanisums, games, outdoor activities to enable guest experiences. Amenities can be defined with specific unit of measures and pricing to fit varied requirements

Adding Amenities availed by a customer in the Folio

Every facility availed by customser additionally with reservation can be recorded in hotel reservation and can be further processed during invoicing

Configure masters for Laundry services - Types of Laundry services, type of service (paid/free) (internal/external), clothing and linen masters with cost, sales price and taxes

Hoteliers can define various types of Laundry services offered. Different types of clothing and their respective rates and taxes. Define types of landry vendors (internal or external)

Process Laundry requests and it reflects automatically in Folio

Housekeeping supervisor can generate laundry requests choosing the room (reservation number) and select various clothing that requires laundry services. Hoteliers can issue laundry request for regular linen cleaning of all rooms. Laundry requests of guests automatically gets attached to hotel reservations and further processed for invoicing.

Manage Restaurant with floor setup, food categories, KOT and BOT

For those companies who doesn't opt for PoS module, Hotel management offers the functionality of creating restaurant with floor setup - table setup, food categories, specific bar and kitchens, etc. Capturing customer data with payment information are all integrated in the restaurant module of hotel management.

Place orders in restaurant and attach reservations for the restaurant orders

Orders placed through restaurant feature will be automatically integrated with hotel reservations - Every restaurant order can be attached with hotel reservation number which will add the restaurant order in Folio that can be further processed automatically during invoicing

Configure Agents who helps boost business and define the percentage of commission for every agent

Define/configure agents in hotel management and assign commission percentages for these agents to boost marketing and sales

Autocalculation of commissions for agents based on the bookings generated

During reservations Hotel management app enables hoteliers to record the agent through which the reservation is bought in. Once reservation is processed, system auto calculates the commission and processes an invoice to create a libality for the agent.

Auto created House keeping tasks after every check out transaction

Hotel management app provides the functionality of auto created housekeeping requests to be allocated and processed by internal staff. After a successful check out by a customer system automatically creates housekeeping tasks. These tasks have to be mandatorily performed before a room becomes eligible for check-in. Time taken to tidy the room, utilities used, details of the operators, are all captured as part of KPA's in the housekeeping activities

Create and Manage Banquet halls with accomodation capacity

Hotel Management app provides an unique feature for banquet hall owners to create and configure one or more banquet halls and manage the operations. Banquet halls can be configured with specific seating capacity, deposits required to process bookings with food and other amenities

Manage bookings of Banquet halls with deposit functionality

Reservations of banquet halls with multiple stages can be made capturing the required details of period of usage, food, amenities and further the same will be processed for invoicing.

Hotel Management app provides variety of reports to enable hotelliers to take informed decisions with less efforts

Apart from centralized Hotel Dashboard module, hotel management app also provides various reports in PDF and MS Excel formats. Reports of reservations, occupancy, booking history are few to list out.

Installation


Go to the Apps menu, remove the default “Apps” filter if applied, and search for pragtech_mobile in the search bar.

Locate the Pragtech Mobile module from the results and click on it. Click the Install button to begin the installation process.

Once the installation is completed successfully, the module will be ready for configuration and use within your Odoo system.

Timesheet Freeze functionality


The Timesheet Freeze feature allows administrators to define a specific time interval in Odoo after which timesheets will be automatically locked from editing.

The freeze interval is configured in Settings → Timesheet Freeze, where you can set the Interval Number and Interval Type (Days or Hours).

Based on the configured time frame:

  • Employees can edit or delete their timesheets within the defined interval from the created time.
  • Once the specified time period is exceeded, the timesheet entries are automatically frozen.
  • After freezing, users are no longer allowed to modify or delete those timesheets.

Real-Time Mobile Notification


The Mobile App Notification module enables real-time push notifications from Odoo to the mobile application using Firebase Cloud Messaging (FCM).

How it works :

  • When a user logs in through the mobile app, the device details and FCM token are stored in Odoo under the Active Sessions tab in res.users.
  • The system uses the stored FCM token to identify the specific device.
  • Whenever a notification-triggering event occurs (such as approval requests, updates, or alerts), Odoo sends the notification data to Firebase.
  • Firebase then delivers the push notification directly to the user’s registered mobile device.
Important: To use this module, the EPMS Mobile App must be purchased and installed, as this web module depends on it.

1. Can he put his expenses on the system?

Using Invoicing modules expenses can be added for the company. Hotel Module is not adding any expenses.

2. Will it be possible to link the ERP to a POS in the future?

We have link POS order with Hotel Folio only to show the relation. There is no change in the POS Function.

3. Can it be linked to Booking.com and Expedia?

Yes but at an additional cost of development.

4. would work with LAN based deployment as opposed to online (VPS)?

We can deploye odoo onpremmise as well.
