Follow these simple steps to set up your school in minutes.

Install Module

Install WT School Management from Apps. All dependencies (HR, Account, Mail, Fleet, Attendance) install automatically.

Configure Grades & Scales

Go to School → Configuration → Grades. Create grades, add sections, define subjects and grade scales.

Create Academic Session

Go to School → Sessions. Create an academic session (e.g. 2024–2025) with terms and academic years.

Enroll Students

Submit applications, confirm, then enroll students into the current session and grade with a single click.

How to Use — Step by Step

Complete guide to setting up a new school from scratch.

Install the Module

Go to Apps, search for WT School Management and click Install. All required dependencies (HR, Accounting, Mail, Fleet, Attendance, Time Off) will install automatically.

Assign User Access Rights

Go to Settings → Users & Companies → Users. Open each user and under WT School Management assign one of: Staff, Officer, or Administrator. Administrators have full access; Officers manage day-to-day operations; Staff have read/create access.

Create Grades & Sections

Go to School → Configuration → Grades. Create each grade (e.g. Grade 1, Grade 2, KG). Inside each grade add sections (A, B, C) and define the subjects taught in that grade along with credit values and subject codes. Also set up grade scales (A+, A, B...) under Configuration → Grade Scales.

Create an Academic Session

Go to School → Sessions and create a new session (e.g. 2025–2026) with a start date and end date. Add Terms inside the session (e.g. Term 1, Term 2, Term 3) with their date ranges and percentage weights. Add Academic Years to link the session to the school calendar. Confirm the session when ready.

Submit & Confirm Student Applications

Go to School → Applications. Create a new application for each student — fill in personal details, select the grade applied for, and the session. Click Confirm to approve the application. Once confirmed, click Enroll to convert the application into a full student record automatically.

Set Up Fee Structures

Go to School → Fees → Fee Structures. Create a fee structure per grade with line items (Tuition Fee, Transport Fee, Lab Fee, etc.) and their amounts. Then go to Fee Slips to generate individual fee invoices per student. Track payment status (Draft → Paid / Overdue) from the fee slip list.

Build the Class Timetable

Go to School → Timetable → Classes. Create a class record linking a grade, section, subject, teacher and session. Under Configuration set up Time Slots (e.g. 08:00–09:00) and Locations (Room 101). Then create Timetable Sessions assigning each class a day, timeslot and location. Confirm the class to finalize the timetable.

Record Daily Attendance

Go to School → Attendance. Create a new attendance record, select the grade, section and date. The system will load all enrolled students for that class. Mark each student Present or Absent. Lock the record once complete to prevent further changes. Filter by date range, grade or student to review history.

Manage Transport Routes

Go to School → Transport → Routes. Create a route, assign a vehicle, driver and transport manager. Add stops with pickup/drop-off times under the Stops tab. Assign students to the route under the Students tab. Activate the route, then create daily Trips and mark student pickup/drop-off status per trip.

Create Assignments & Lesson Plans

Go to School → Academics → Assignments. Create assignments per class with due dates, marks and type. Students submit work and teachers grade using the configured grade scale. Under Lesson Plans teachers can plan each class session with objectives, activities and resources.
