Overview
POS Refund Backdate with User Restrictions
This feature enhances POS refund management by allowing businesses to control both the refund date and user access. Administrators can choose to backdate refunds to match the original sale date or follow the default system date. Additionally, refund creation can be restricted to specific users, ensuring better security and preventing unauthorized refund operations from both the POS interface and backend system.

1. Backdate Refund to Original Sale Date
- This feature allows you to control whether refund orders should use the original sale date or the current date.

Configuration Steps :
- Navigate to Point of Sale
- Click on More Options
- Select Edit
- Enable/Disable the checkbox: “Backdate Refunds to Original Sale Date”
Behavior

Enabled (Checked) :
- Enabled the checkbox of “Backdate Refunds to Original Sale Date”.
- This POS order was created on 25-03-2026.
- Now, when the products are returned, the refund orders will be created with the date 28-03-2026, which is the same as the original POS order date.
- Additionally, the refund picking order date is set to be the same as the original POS order date.

Disabled (Unchecked) :
- Refund orders will follow the default Odoo behavior, using the current date.
- Disabled the checkbox of “Backdate Refunds to Original Sale Date”.
- This POS order was created on 25-03-2026.
- Now, when the products are returned, the refund orders will be created with the current date.
2. Restrict Refund Access
- This feature controls which users are allowed to create refund orders.
- Configuration Steps : Go to Point of Sale -> Click on More Options -> Select Edit
- Enable the checkbox : “Restrict Refund”
- A field, “Users Allowed to Refund”, becomes visible. Only the users selected in this field can create refund orders. This configuration can be set only when the POS session is closed.
- Configured users can see the Refund button in the Actions options.
- The user can process the refund order without any validation, as they are configured in the settings.
- The user can also create a refund from the backend without any validation.
- If a user is not listed, they will not be allowed to create refund orders from POS screen and Backend system.
- If the user is not listed in the configuration and attempts to refund the order, they are prevented from proceeding with the refund.
- The user is also prevented from performing this action in the backend, and a validation message is displayed.
- The user is also prevented from processing the POS picking.
