1- Standard Email‑Style Message Composition

Full Email Fields: Compose messages with complete To / CC / BCC fields; followers not listed here will not be notified

Location: Messages – left side of the screen.
Open Messages → click the 👁️ icon → when hovering over any message, its full content instantly appears in the left‑hand preview pane.

1. Open the Record or Thread
  • Navigate to the specific record or conversation thread in Odoo where you want to send the email.
2. Launch the Embedded Composer
  • In the Messages section, click Send Message to open the focused email composer embedded directly in the thread.
3. Specify Recipients
  • Fill in the To, CC, and BCC fields as needed.
  • Only the recipients listed here will receive the email.
  • Record followers will not be notified unless you explicitly add them as recipients.
4. Compose the Email
  • Enter the subject and body of your message.
  • Attach files if necessary.
  • The composer supports rich text formatting for better readability.
5. Send the Email
  • Click Send to deliver the message.
  • Recipients will receive it as a real email in their inbox.
1. First, we need to implement the message migration model.
2. To move a message, select move, then select where you want to move the message and select the method as send message.
You need to set the destination address for the message first.
You can add the destination address right in move or you can also set the destination address in Move to models "Referable models"

1. Open an Existing Email
  • Navigate to the Mail module or the related record’s chatter to view the email you want to respond to or forward.
2. Reply to an Email
  • Click Reply to respond only to the original sender.
  • The system will automatically include the original message content for context.
  • Edit your message as needed, then click Send.
3. Forward an Email
  • Click Forward to send the original email to a different recipient.
  • The forwarded message will include the original content and any attachments.
  • Add your own comments if necessary, then click Send.
4. Attachment Handling
  • All original attachments are preserved when replying or forwarding, unless you choose to remove them.
1. Turn on cleanup
  • Admin will Add the specified user to the “Mail: CRM Cleanup Managers” group.
2. Enable per user
  • In the cleanup settings, enable the auto‑delete feature for selected users who manage CRM hygiene.
  • Before that, you were need to set it up automatically in technical: go to technical settings, find automation, select schedule action
  • Select CRM cleanup (empty threads)
  • Then press Run manually. Then the cleanup log will appear.
  • Scope: Automatically deletes CRM leads/opportunities that contain only notifications and no substantive messages or data.
  • Default: If no custom period is set, records are removed after 7 days by default.
1. Configure conversation for user, first go to settings -> user -> mail conversations, choose to see all conversations or see your own conversation.
2. At message tap conversation, shows the conversations that the user has been added to (in case the admin set to view his own conversations).
3. Click new to create a new conversation. Enter a conversation subject.
4. Click add to add users and select the users you want to add.
5. Here users can send messages, logging, activity creation.
Here you can also show, hide notifications, notes, messages by clicking on the corresponding icons.
Along with that you can also perform operations with messages, logs.
6. Navigating & Managing Threads
Open a Thread: Click on a conversation line to view the full message history.
Bulk Actions: Select one or more threads and use the Action button to:
  • Move
  • Archive
  • Delete
  • Mark as Read/Unread
Press move to move the conversation to the desired location and delete all messages of that conversation.
Mark as Read: Remove the “unread” status from a conversation so it no longer appears as new or highlighted.
Mark as Unread: Flag a conversation as new again, so it’s visually highlighted and easier to find later
7. Filtering, Grouping
Use the search/filter bar above the list to:
  • Filter by subject, partner, date range, read/unread status
  • Group by partner, model, or tag
Combine filters and grouping for more precise results.

What is the purpose of the Mail Messages & Conversations module?

It centralizes all communication—emails, internal notes, and notifications—inside Odoo records, allowing users to compose, view, filter, and manage messages without leaving the system.

How do I compose a new message?

Use the Compose New menu to create a draft email from anywhere in Odoo. You can fill in To / CC / BCC fields, and only recipients listed there will be notified. Drafts are stored in the Drafts view until sent.

How can I move a message to another record?

Use the Move Message feature to transfer a message or note between records (e.g., from a sales order to a project task). The original timestamp and author are preserved.

Can I edit or delete a message after sending it?

Yes. You can edit to fix typos or add details—edits log the last editor’s name and time. Deleting a message requires confirmation and is subject to your permissions.

How does CRM Data Cleanup work?

It automatically deletes CRM leads/opportunities that contain only notifications after a set number of days (default is 7). Admins can enable/disable this for selected users, and users can set their own retention period.
