Overview
Smart Warehouse Capacity Planner
his feature enables businesses to efficiently manage and monitor warehouse location weight capacity in real time within the inventory workflow. It helps prevent warehouse overloading by defining maximum weight limits for locations and child locations, automatically calculating used and remaining capacity, and validating stock movements based on weight restrictions. The system provides smart approval workflows, overload alerts, email notifications, alternative location suggestions, reporting tools, and daily monitoring emails to ensure better warehouse planning, optimized storage utilization, and improved inventory control.

Configuration
To manage warehouse location weight capacity, first configure the capacity
Go to Inventory --> Configuration --> Locations
Multiple locations can be created. Each location includes a sections called “Location Weight
Capacity and Child Location Capacity”
* The Location Weight Capacity section contains the following fields:
1. Maximum Weight Capacity (kg) : Defines the maximum allowed weight for the location and also
its all weight of the its child location.
2. Current Used Weight(kg) : Automatically calculated based on stored product weights current
locations and also its child locations.
3. Capacity Usage (%): Automatically calculated the usage of the current location and its child
locations, and if the oveload then the colour was changed.
4. Weight Capacity Status : Displayd the status of the capacity for the better identification of
Normal - Green, Warning - Yellow and Oveloaded - Red.
5. Remaining Capacity (kg) : Automatically calculated available capacity based on the current
used weight.
6. Forecasted Incoming Weight (kg): Displays the total weight of incoming products not yet
included in current capacity.
7. Forecasted Outgoing Weight (kg): Displays the total weight of outgoing products not yet
deducted from current capacity.
1.The Child Location Capacity section contains the following fields:
1. Total Child Locations Weight : Automatically sum of the its child locations if selected the
parent location.
2. Child Locations Used Weight (kg) : Automatically calculated of the its child locations used
weight.
3. Child Capacity Usage (%) : Based on the used weight calculated the percentage of the usage
location capacity.
The Max Weight Capacity , Current Used Weight, and Remaining Capacity fields are also visible in the tree view.
The administrator user cannot set the parent location’s maximum weight capacity lower than the total weight capacity of its child locations. If attempted, a validation message will appear.
A validation message will also appear if the total weight capacity of child locations exceeds the maximum weight capacity defined for the parent location.
When a user changes a product’s weight, a warning appears : “Changing the product weight may affect the 'Current Used Weight' and 'Remaining Capacity' of warehouse locations where this product is stored.”
When a user add or updates the product quantity from the Physical Inventory, a warning appears: “Changing the product weight may affect the ‘Current Used Weight’ and ‘Remaining Capacity’ of warehouse locations where this product is stored.”
If any operation (such as receiving or transferring products) causes the location capacity to exceed its limit, approval from the Responsible Users of the respective location.
When validating a Purchase Order Receipt or Internal Transfer, if the weight exceeds the defined capacity, an email notification is sent to Responsible user of the respective location, and the responsible user was not assigned then the approval from the Inventory Administrator.
The email includes detailed information about the location’s weight capacity and provides a button to redirect to the particular transfer records.
A new “Approve Weight Capacity” button is available for Inventory Administrator users. Once the request is approved, an email is sent to the responsible user for further validation.
There was also button "Resend Approval Request" for the sent the request again.
If the user or manager need to change the destination location then there was also button "Alternative Location" available, when click on the button then a wizard will be opens and shown location of the type of internal location and its current usages and Remaining Capacity, and selection field "Destination Location" available for the select the location.
Now, after the change the destination location and approval then normal user can complete the validation and also main has been sent to the respective user.
The responsible user was not assigned then the approval from the Inventory Administrator user is required. If the user is an Inventory Administrator, no approval is needed.
For the weight used checking in real-time we have also columns available as follows :

1. Current Used Weight :
Calculation : On Hand * Product Weight
2. Incoming Weight
Calculation : Incoming * Product Weight
3. Outgoing Weight
Calculation : Outgoing * Product Weight
[2] Go to - Inventory - Reporting - Location
1. Inventoried Qty Weight : Inventoried Quantity * Product Weight
2. Reserved Qty Weight : Reserved Quantity * Product Weight
3. Available Qty Weight : Available Quantity * Product Weight
To able print the locations summarise report from the Report Summary menu in the Reporting menu.
Go to --> Inventory --> Reporting --> Location Weight Report.
Open a wizard for the select the Locations for the which location summary to print it and in the report shown all the selected locations details.
Report :
A daily email is sent to Inventory Administrators with details including :
1) Location Name
2) Maximum Capacity (kg)
3) Used Weight (kg)
4) Planned Incoming (kg)
5) Planned Outgoing (kg)
6) Overloaded Amount (kg)
- This helps administrators monitor and manage warehouse capacity effectively.
