Install the Gym Management module from Odoo Apps. Once activated, a dedicated Gym Management menu appears with Dashboard, Members, Fitness, Diet, Staff, Reporting, and Configuration.

Go to Settings > Users and open the Access Rights tab. Enable the relevant Gym Role checkbox — Receptionist, Trainer, Nutritionist, Branch Manager, or Administrator — to control what each user can see and do in the app.

Turn any product into a Membership Plan from its Membership Plan tab: set the plan code and duration, toggle whether it includes a workout and/or diet plan, and list the member benefits.

Build reusable weekly workout templates per fitness goal. Each template's Exercise Lines define the day of week, exercise, category, equipment, sets, reps, and rest time.

The Configuration menu groups every master data list — Membership Plans, Workout Templates, Exercise Categories, Exercises, Diet Templates, Food Categories, Foods, Equipment Categories, Equipment, and Trainer Specializations — for quick setup.

Maintain the Exercise catalog with each exercise's category, targeted muscle group, and required equipment. These exercises populate the workout template lines.

Create meal-by-meal Diet Templates per fitness goal. Each template's Meal Lines define the meal type, food item, quantity, and unit, sourced from the food catalog.

Organize the food catalog into categories such as Carbohydrates, Protein, or Vegetables. Each category groups foods with their calorie and macronutrient values for easy reuse in diet templates.

Maintain the Foods catalog with calories, protein, carbohydrates, and fat per item. These nutritional values feed automatically into diet templates and member diet plans.

Group gym equipment into categories like Cardio Machines, Strength Machines, or Free Weights so it can be referenced consistently across exercises and workout templates.

Maintain the full Equipment catalog, assigning each machine or accessory to its category so it's ready to attach to exercises and workout plans.

Define Trainer Specializations such as CrossFit, Strength & Conditioning, or Weight Loss Coaching to categorize trainers by their area of expertise.

On each Employee record's Gym Info tab, the Receptionist, Trainer, Nutritionist, and Branch Manager flags are read directly from that employee's linked user Access Rights, keeping staff roles in sync.

Staff use the Check In / Check Out wizard under Staff to log their own working hours in one click, built on top of Odoo's native hr.attendance model.

The Staff Attendance list under Staff shows every employee's check-in and check-out times and worked hours, so admins can review attendance across all staff.

Mark a Contact as a Gym Member on its Gym Info tab, then click Create Portal User to give the member login access to the self-service portal.

Create a Membership by selecting the member, plan, and start/end dates, then click Confirm & Invoice to generate the Sales Order and Invoice and move the membership toward Active.

Once the invoice is paid, the membership automatically activates and a welcome email is sent to the member. From here, click Create Assessment to schedule their initial health assessment.

Record the member's height, weight, BMI, body fat percentage, and other body measurements, then assign a Trainer and/or Nutritionist and click Assign & Notify to alert them.

From the in-progress assessment, pick a workout template under Workout Recommendation and a diet template under Diet Recommendation, then click Create Workout Plan or Create Diet Plan to generate the member's personalised schedule.

The generated Workout Plan lists exercises by day of week with sets, reps, and rest time. Click Activate to publish it and move its status from Draft to Active.

Members log into the customer portal to reach My Account, with quick links to their Memberships, Workout Plans, Diet Plans, and Attendance.

Inside My Memberships, a member can see their plan status and dates, linked Workout Plans, Diet Plans, and Health Assessments, plus their recent attendance — and check in directly from the page.

From the portal Attendance page, members check themselves in and out and see their complete visit history with check-in/out timestamps.

The Members > Attendance list gives admins a consolidated view of every member's check-in/check-out records and linked workout plan.

Assign the Gym Branch Manager role to a user and set their Companies and Default Company to scope their access to a specific branch.

When a Branch Manager logs in, the top-right company selector defaults to their assigned branch, and the Gym Overview dashboard shows figures for that branch only.

Administrators with access to multiple branches can switch between them from the same top-right company menu to view consolidated or branch-specific gym data.

The Members & Billing dashboard tab shows real-time KPIs for total and active members, new signups, expiring memberships, pending payments, and revenue, alongside membership and payment status charts.

The Attendance & Staff dashboard tab tracks check-ins, members currently in the gym, average session length, peak hours, top trainers, and staff attendance in one interactive view.
