POS Payment
Method Swap
Easily swap, change, or correct payment methods on POS orders directly from the backend - no refund or re-creation needed.
Key
Features
Swap Payment Methods
Change payment methods on any POS order through an intuitive wizard - swap Cash to Card, split payments, or reassign amounts in seconds.
Fix Wrong Payments
Quickly correct mistaken payment method selections on already-paid POS orders without creating refunds or duplicate orders.
Session Validation
The "Change Payments" button only appears when the POS session is still open, ensuring changes are safe and controlled.
Payment Protection
Prevents changes on orders that are already reconciled, posted, or fully paid - no accidental modifications to closed entries.
Security Control
Dedicated user group "Allow to Edit POS Payment Method" lets admins control exactly who can perform payment swaps.
Auto Amount Calculation
Smart wizard auto-calculates remaining amounts as you assign new payment lines - just pick the method and confirm.
How It
Works
Step 1: Enable User Permission
SecurityGo to Settings > Users and enable the "Allow to Edit POS Payment Method" checkbox under Extra Rights. Only users with this permission will see the "Change Payments" button on POS orders.
Step 2: Create a POS Order
POS FrontendCreate a regular POS order in the Point of Sale frontend. Add products and proceed to the payment screen as usual.
Step 3: Pay with Multiple Methods
PaymentComplete the payment using one or more payment methods (e.g. Cash + Card + Customer Account). After validation, the order is marked as Paid. But what if a mistake was made? That's where this module shines.
Step 4: Click "Change Payments" on the Backend
BackendOpen the POS order from the backend (Point of Sale > Orders). You'll see the "Change Payments" button in the header - visible only when the session is open and the payment hasn't been posted yet.
Step 5: Swap Payment Methods via Wizard
WizardThe wizard opens showing the Old Payment Lines (read-only) at the top and New Payment Lines at the bottom. Simply select the correct payment method(s), adjust amounts if needed - the last line auto-calculates the remaining balance. Click "Change Payments" to confirm.
Step 6: Payment Successfully Swapped
ResultDone! The payment lines are updated instantly. In this example, the three payment methods (Cash + Card + Customer Account) were consolidated into a single Cash payment. A note is automatically logged in the order with the user name and timestamp for a complete audit trail.
Payment Protection on Posted Orders
ProtectionOnce the order is Posted (journal entries generated), the "Change Payments" button is automatically hidden. This ensures accounting integrity - no accidental modifications to reconciled transactions.
