Sync Freshdesk Contacts into Odoo

Path :- Freshdesk → Contacts

Once the connection is configured and synchronization is executed, all Freshdesk contacts are automatically imported into Odoo. The Contacts screen displays a structured list of synced records, including customer name, associated company, email, phone number, and other details. Each contact is linked with its corresponding Freshdesk record, allowing users to easily view and manage customer information directly within Odoo. This ensures that your support and sales teams always have access to up-to-date customer data without switching between systems.

View & Manage Synced Contact Details

Path :- Freshdesk → Contacts → Open Any Contact

After synchronization, each contact can be opened to view complete details along with its Freshdesk linkage. The “Freshdesk” tab inside the contact form displays important information such as Freshdesk ID, linked company, creation and update timestamps, and additional metadata like tags, job title, and timezone. Users can also manually sync updates using options like “Sync to Freshdesk” or “Refresh from Freshdesk.” This ensures that both systems remain aligned while giving users full control over individual records.

Sync Contact to Freshdesk (Manual Push)

Path :- Freshdesk → Contacts → Open Contact → Sync to Freshdesk

Users can manually push contact data from Odoo to Freshdesk using the “Sync to Freshdesk” button. This is useful when a contact is newly created or updated in Odoo and needs to be reflected in Freshdesk immediately. The system sends the latest contact information, ensuring both platforms stay synchronized in real time. This feature provides flexibility to control data updates at an individual record level instead of relying only on bulk synchronization.

Verify Synced Contact in Freshdesk

Path :- Freshdesk → Contacts → Open Contact

After syncing a contact from Odoo, the same record can be verified directly in Freshdesk. Any updates made in Odoo, such as modifying contact details (e.g., updating the name from “Bob Tree” to “Bob Tree USA”), and then exporting to Freshdesk using the “Sync to Freshdesk” option, are instantly reflected on the Freshdesk side.

Sync Freshdesk Companies into Odoo

Path :-  Freshdesk → Companies

After running synchronization, all companies from Freshdesk are imported into Odoo and displayed in a structured list view. Each company is linked with its corresponding Odoo partner record, ensuring proper mapping between both systems. This allows users to manage company-level information, maintain relationships with contacts, and keep organizational data consistent across platforms.

View & Manage Synced Company Details

Path :- Freshdesk → Companies → Open Any Company

After synchronization, each company record can be opened to view detailed information along with its Freshdesk linkage. The “Freshdesk” tab displays key data such as Freshdesk Company ID, linked backend company, domains, tags, and timestamps for creation and updates. Additional details like industry, account tier, and description are also available, giving complete visibility of company-level data. This ensures that organizations and their related contacts remain properly mapped and managed between Odoo and Freshdesk.

Ticket Export & Status Synchronization

Path :- Freshdesk → Tickets → Open Ticket

This screen displays tickets that are synchronized from Freshdesk into Odoo. When a ticket is created in Freshdesk, it is automatically synced and appears in Odoo with complete details such as subject, description, requester, and conversations.

Users can export tickets from Odoo to Freshdesk using the “Export to Freshdesk” button. If any changes are made in Odoo (like subject or description) and re-exported, those updates are also reflected in Freshdesk.

The “Sync Conversations” feature allows users to fetch the latest updates from Freshdesk. When this option is used, all new messages, replies, or updates made in Freshdesk are synced back and दिखाई (shown) in Odoo, ensuring both systems remain up-to-date.

Additionally, ticket status (Open, Pending, Resolved, Closed) is synchronized between both platforms to maintain consistency.

Overview of Ticket in Freshdesk

Path :- Freshdesk → Tickets → Select Ticket

This screen provides a complete overview of a ticket in Freshdesk, including its subject, status, priority, and assigned agent. It also displays detailed conversation history, where all customer queries and support responses are shown in a threaded format.

Ticket Synchronization & Update Reflection in Freshdesk

Path :- Freshdesk → Tickets → Open Ticket → Export to Freshdesk / Sync Conversations

This feature demonstrates how tickets are synchronized between Odoo and Freshdesk, ensuring real-time consistency of data across both platforms. When a ticket is created or updated in Odoo (such as modifying the subject from "Issues with reports" to "Issues with reports many times"), clicking Export to Freshdesk reflects these changes instantly in Freshdesk.

Additionally, using the Sync Conversations button ensures that all updates made in Freshdesk—such as replies, status changes, or internal notes—are fetched back into Odoo. This keeps both systems aligned, allowing users to view the latest ticket details, conversation history, and status updates without switching platforms.

Helpdesk Ticket & Project Task Creation from Freshdesk Ticket

Path :- Freshdesk → Tickets → Open Ticket → Create Helpdesk Ticket / Create Project Task

This feature allows users to create internal records in Odoo directly from a synced Freshdesk ticket. By clicking Create Helpdesk Ticket, a corresponding helpdesk ticket is generated within Odoo’s helpdesk module, enabling internal team tracking and management.

Similarly, using Create Project Task converts the ticket into a project task, allowing teams to handle issues through project workflows and task assignments. Once created, the system displays the linked Helpdesk Ticket and Project Task counts, ensuring clear traceability between Freshdesk tickets and Odoo records.

Helpdesk Ticket Linked with Freshdesk Ticket

Path :- Freshdesk → Tickets → Open Ticket → View Helpdesk Ticket

This screen shows the Helpdesk Ticket created in Odoo from a Freshdesk ticket, where all important details such as subject, description, and customer information are preserved. The system also displays a Freshdesk Ticket reference field, which links back to the original Freshdesk ticket, ensuring complete traceability between both platforms. This allows users to manage and resolve issues internally within Odoo while still maintaining a clear connection to the source ticket in Freshdesk, with all relevant data and context seamlessly carried over.

Project Task Creation from Freshdesk Ticket

Path: Freshdesk → Tickets → Open Ticket → Create Project Task

When a ticket is created or synced from Freshdesk into Odoo, users can directly generate a project task using the “Create Project Task” option. This automatically creates a task with the same subject (e.g., “Issues with reports many times”) and links it back to the original Freshdesk ticket. The task includes relevant details like description, customer, and deadline, ensuring both systems stay connected. Any reference to the Freshdesk ticket is visible inside the task, allowing users to easily navigate between systems and manage work efficiently without losing context.

Ticket Queue Management

Path :- Freshdesk → Ticket Queue

The Ticket Queue screen displays all synchronized tickets from Freshdesk in a structured list format, allowing users to monitor and manage ticket processing efficiently. It shows key details such as ticket number, subject, status, priority, customer, requester email, queue state, and timestamps for updates and processing. Each ticket reflects its current state (e.g., Open, Pending, Closed) and whether it has been processed or synced successfully. This view helps users track incoming support requests, verify synchronization status, and ensure that all tickets are properly handled within Odoo without needing to switch back to Freshdesk.

Sync Logs Monitoring

The Sync Logs screen provides a complete history of all synchronization activities between Freshdesk and Odoo. It displays detailed records of operations such as ticket export, contact sync, company sync, queue import, and conversation updates, along with their status (e.g., Success), processed records, timestamps, and system messages. Each log entry helps users verify whether data was successfully synced or if any issues occurred during the process. This ensures transparency and makes it easy to track integrations, debug errors, and confirm that all data between Freshdesk and Odoo remains consistent and up to date.

User Guide

Generate Freshdesk API Key

Path :- Freshdesk → Profile Settings → API Key

To connect Odoo with Freshdesk, you need to generate an API key from your Freshdesk account. Navigate to your profile settings in Freshdesk, where you will find your unique API key. This key is used to authenticate the connection between both systems. Simply copy the API key and paste it into the Odoo configuration to establish a secure and successful integration.

Configure Freshdesk User Access

Path :- Settings → Users & Companies → Users → Freshdesk Access

Assign Freshdesk access rights to users directly from Odoo by selecting the appropriate role such as Freshdesk User or Freshdesk Admin. This configuration controls how users interact with Freshdesk data within Odoo, including permissions for synchronization and data management. It ensures that only authorized users can access and manage Freshdesk-related operations, improving security and workflow control.

Enable Freshdesk Connector

Path :- Freshdesk → Configuration → Freshdesk Configuration

Activate the Freshdesk connector from the configuration screen to start the integration with Odoo. Enabling this option allows the system to perform synchronization of contacts, companies, tickets, and conversations. Once enabled, all related features like data sync, logs, and ticket queue management become accessible, allowing smooth communication between Odoo and Freshdesk.

Configure Freshdesk Domain & API Key

Path :-  Freshdesk → Configuration → Freshdesk Configuration

After enabling the connector, enter your Freshdesk domain and API key to establish the connection with Odoo. The domain identifies your Freshdesk account, while the API key ensures secure authentication. Once configured, you can test the connection, run full synchronization, manage ticket queues, and view sync logs directly from this screen, enabling smooth and reliable data exchange between both systems.

Test Freshdesk Connection

Path :- Freshdesk → Configuration → Freshdesk Configuration → Test Connection

Use the “Test Connection” button to verify that your Freshdesk domain and API key are correctly configured. Upon successful validation, the system displays a confirmation message indicating that the connection is established and Freshdesk is reachable. This helps ensure that the integration is properly set up before performing any data synchronization.

Run Full Synchronization

Path :- Freshdesk → Configuration → Freshdesk Configuration → Run Full Synchronization

Use the “Run Full Synchronization” option to fetch and sync all Freshdesk data, including contacts, companies, tickets, and conversations, into Odoo in one go. The synchronization scope section provides a detailed view of each operation, showing total records, processed count, progress, last sync time, and status (Draft, Running, Done, Failed). This helps users monitor the complete sync process, track performance, and ensure that all data is successfully imported and updated within Odoo.

Configure Helpdesk & Project Integration

Path :- Freshdesk → Configuration → Freshdesk Configuration → Helpdesk Tab

Set up how Freshdesk tickets are handled within Odoo by selecting the Helpdesk team and enabling project task creation. You can automatically create project tasks from incoming Freshdesk tickets and assign them to a default project for better tracking and execution. This configuration helps bridge support and project workflows, ensuring that customer issues are not only tracked but also acted upon efficiently within your team.

Configure Synchronization Window

Path :- Freshdesk → Configuration → Freshdesk Configuration → Sync Window Tab

Define how and what data should be synchronized from Freshdesk by configuring the sync window settings. You can control pagination using records per page and number of pages to fetch, as well as limit data synchronization using a specific date range (Sync From and Sync To). This helps optimize performance by fetching only the required data and avoiding unnecessary load during synchronization.

May I install the app on my Odoo Online (SaaS) database?

No, third-party apps can not be used on Odoo Online. Unfortunately, Odoo SaaS blocks such a possibility.
