Employee Document
The Employee Document module helps organizations efficiently manage employee-related documents within Odoo. HR teams can create and attach important documents such as contracts, certifications, and identification files directly to employee records while tracking their expiry dates. The module automatically sends email notifications before documents expire, ensuring timely renewals and helping organizations maintain compliance without manual follow-ups.
Features
Centralized Employee Document Management
This feature allows HR teams to create and manage employee documents directly within the employee profile. Important records such as contracts, certifications, identification documents, and compliance files can be stored in a structured way, making them easy to access whenever needed.
Automatic Document Expiry Notifications
The module tracks document expiry dates and automatically sends email reminders before a document expires. These alerts ensure that HR teams and responsible staff are notified in advance, giving them enough time to renew or update documents without disruption.
Flexible File Attachments and Configurable Alerts
HR teams can easily attach files such as PDFs, scans, or images directly to employee document records. This ensures that all supporting files are stored alongside the document details, making it simple to review or download them whenever required.

1.) Create a New Employee Document
HR users can add new documents directly from the employee profile by selecting the option to create a document. Each document is linked to the employee record, allowing multiple documents to be organized and tracked for the same employee.
2.) Set Expiry Date for Employee Document
While creating or updating a document, an expiry date can be assigned to track its validity. This ensures that documents such as certifications or identification records are monitored over time.
3.) Configure Expiry Notification Settings
Notification settings allow administrators to define how many days before the expiry date an alert should be sent.
4.) Receive Expiry Notification via Email
Automated email notifications are sent when a document is approaching its expiry date. These alerts help HR teams take timely action to renew or replace documents before they expire.
