Rental Billing Invoice

Replace Rental Product

Select the rented product line that needs to be replaced during the active rental period. The system displays the original rental product, rental duration, serial number details, and source line information to ensure accurate replacement tracking.

Add the replacement product that will be issued to the customer in place of the original rented item. The system records the replacement product details, serial number information, and pricing to maintain a complete rental replacement history.

Rental Product Replacement Validation

The system validates rental product replacement requests and displays warning messages when replacement conditions are not met. A replacement can only be performed for products that have already been delivered to the customer, and the replacement product must have a different serial/lot number than the original item. These validations help prevent invalid replacements and maintain accurate rental inventory tracking.

Delivery Transfer Management

The Delivery smart button provides access to all delivery and return transfer records associated with the rental order. Users can track outgoing deliveries, returned products, transfer statuses, and maintain complete visibility of equipment movements throughout the rental lifecycle.


Reserved Lot & Serial Number Tracking

Path :- Rental → Rental Orders → Open Confirmed Rental Order → Equipment Rental

The system automatically reserves and displays the assigned lot and serial number for rental products. This helps ensure accurate equipment identification, inventory traceability, and proper tracking of rented assets during delivery, replacement, and return processes.

Rental Agreement Expiry Notification Email

Path :- Settings → Technical → Emails → Rental Agreement New is nearing expiry

This email notification is automatically generated through a scheduled cron job when a rental agreement is nearing its return or expiry date. The system sends a reminder email to the customer containing the rental agreement details and scheduled return date. Customers are advised to contact the company before the due date if they need to extend the rental period or replace the rented product. This automated reminder process helps ensure timely communication and reduces the chances of overdue rental agreements.

Extend/Renew Rental Agreement

Path: Rental → Rental Orders → Open Rental Order → Extend/Renew Rental

The Extend/Renew Rental action allows users to extend the rental period of an active rental agreement. Users can specify a new return date, review the existing rental duration, optionally update rental pricing, and add remarks before confirming the extension. This functionality helps accommodate customer requests for additional rental time without creating a new rental order.

Rental Agreement Extension Details

Path :-Rental → Rental Orders → Open Rental Order → Extend/Renew Rental

This screen displays the extension details entered during the rental renewal process, including the updated return date, rental duration, and billing schedule. Once the extension is confirmed, the system updates the rental agreement accordingly and recalculates future rental invoices based on the revised rental period.

Updated Rental Return Date After Renewal

Path:- Rental → Rental Orders → Open Rental Order

After a rental agreement is successfully extended, the system updates the rental order with the new return date and revised rental duration. These changes are reflected in the rental agreement, ensuring that future billing schedules, recurring invoices, and rental tracking activities are aligned with the updated rental period.

Print Rental Order Report

Path:- Rental → Rental Orders → Open Rental Order → Print → Rental Order

The Rental Order report can be generated from the Print menu of a rental order. The report provides a complete summary of the rental agreement, including customer details, rental period, renewal date, serial number, rental charges, tax information, and total amount, making it useful for documentation, customer reference, and record keeping.

Rental Order PDF Report Preview

The generated Rental Order PDF displays all rental agreement information in a printable format. It includes order details, customer and company information, rental start and end dates, rented products, serial numbers, pricing, taxes, and final totals, ensuring a professional and organized rental document for operational and accounting purposes.

User Guide

  1. In this module, separate delivery orders are created for rental products and saleable products because their business flow and stock behavior are fundamentally different: a rental product is issued to the customer for temporary use and must later be managed through return, replacement, serial/lot tracking, and the overall rental lifecycle, whereas a saleable product is delivered permanently in a standard sales flow and does not require rental-specific follow-up operations. Keeping them in separate delivery orders ensures clearer scheduling, more accurate stock movements, better traceability, cleaner reporting, and easier management of future rental activities.
Rental Product Configuration

Path :- Sales → Rental → Rental Product → Create/Edit Product

Configure equipment as rental products by enabling rental options, defining product types, and activating serial number tracking. This ensures accurate asset identification, inventory control, and traceability throughout the rental lifecycle, from equipment pickup to return and replacement.

Flexible Rental Pricing Configuration

Path :- Sales → Rental → Rental Product → Rental Information

Define rental rates for multiple billing periods, including hourly, daily, weekly, and monthly rentals. The system automatically applies the appropriate pricing based on the rental duration, ensuring accurate quotations, invoicing, and revenue management for rental operations.
