Exit management module helps organizations manage employee resignations and offboarding in a
structured,
transparent and stress-free way. From resignation submission to knowledge
transfer, asset return and
final settlement, everything is tracked in one place.
Employees apply for resignation directly in the system, HR and managers receive instant
notifications and every
step is recorded and approved with clear accountability. Knowledge
transfer tasks can be assigned and monitored,
assets are tracked and returned properly and
settlements are processed smoothly without manual follow-ups.
This reduces confusion, delays and missed handovers, while ensuring proper documentation and
a respectful
closing experience for the employee.

Employee settlement processing
HR computes dues and settlements, ensuring fair closure and solid employer brand trust.
Contract cancellation and archival

Resignation application
Employees can submit their resignation within the system along with supporting documents, ensuring the process starts formally and is recorded cleanly from day one.

Approval Workflow
HR and managers can review, approve, or reject resignations with clearly visible steps, reducing misunderstandings and avoiding back-and-forth communication.
Knowledge Transfer (KT) Handling
Projects and responsibilities can be assigned to new owners with clear tracking of completion, ensuring no important knowledge is lost when the employee leaves.
Asset Return Tracking
The system automatically identifies and monitors all company assets assigned to the employee and records their return, protecting the company from asset misuse or loss.
Employee Settlement Processing
Gratuity, leave balances, and final settlements can be handled directly in the workflow, reducing manual work, errors, and delays for HR and finance teams.
Contract Closure & Employee Archival
Once the exit process is complete, the employee record is archived and their contract is closed, keeping company records clean, accurate, and audit-ready.
Automated Notifications & Alerts
Every stakeholder receives timely updates at each stage of the exit process, eliminating unnecessary follow-ups and keeping the workflow moving smoothly.
Installation
To install the module, navigate to the Apps menu, remove the filter from the search bar, type pragtech_exit_management, and click the Activate button.
Configuration
If you need Asset Handling, you need to install the Asset Management. Then only the feature will appear. Go to Apps and search for HRMS Assets Management and install.
Navigate to Settings > General Settings > Users. Open Users records.
Add the Admin user to the Asset Management and Exit Management Admin group.
For Employees, add them to the Asset Management and Exit Management Employee group.
Workflow
Currently, Logged in as an Employee. Creating a resignation application from the employee's side.
Upload the resignation letter and click on the "Apply" button from the employee's side.
Resignation is submitted, and an email is sent to HR and the Manager. If needed, the employee can withdraw the application from here. To withdraw the application, just click on the "Withdraw" button from the employee's side.
The application has been withdrawn, and an email will be sent to HR and the Manager.
If the employee didn't withdraw the application, then it will go into "Under Review". Just click the "Under Review" button from the HR side.
After the "Under Review", an email will be sent to the Employee. The "Approve" and "Reject" buttons will appear. Here, the HR can either approve or reject the application.
If rejecting the application, then just click the "Reject" button and give the reason, and submit.
The application will be rejected.
If HR is going to approve the application, then provide the "Notice Period" or "Last Working Day".
The notice period is added. Click the "Approve" button.
After the approval of the application, the KT handling will start. KT session smart button will appear. Open it.
To handle the KT, assign the projects that the employee is currently handling, and also assign the project to another employee, and transfer the KT to that employee.
After the project assignment, the Employee needs to change the status to "Completed" in the record from the employee side.
Then the admin will check the KT status in the record. If it is "Completed", then click on the "KT Completed" from the HR side.
After the KT Handling, if the employee has active assets, so need to handle the assets too. The active assets list will show in the record. Click the "Handle Assets" button.
An assets handle To-Do will be created for the employee, and an email will be sent to the employee.
If the employee didn't return the assets, there is an option to notify the employee via email.
The employee needs to return the active assets to the company. After returning the assets, the employee needs to change the status to "Handovering Assets" by clicking the "Handover Assets" button from the employee's side.
A To-Do will be created for HR and the Manager. That means the employee has returned the assets, and now the HR and Manager turn to handle the assets in "Asset Management".
HR or the Manager needs to manage the assets by clicking the "Assets Returned" button from their side.
Before clicking the "Assets Returned" button, they must need to make the active assets returned or inactive in "Asset Management". To see the Employee's current assets, click on the smart button from HR side.
Open the "Asset Management" menu and check for the employee's record, and open it from HR side.
"Set to Inactive" from the HR side.
"Returned" from the HR side.
Now the assets have been returned from the HR side.
Now go back to the record and click on the "Assets Returned".
The assets are returned, and also the assets status in the record will show as "Returned". If the company has a gratuity process, then click on the "Create employee gratuity" button; otherwise, the "Process" button for processing the resignation will appear from the HR side.
After clicking the "Create employee gratuity" button, a draft gratuity record will be created. Need to make the gratuity record status as completed to process the application. For that, click on the "Settlement" smart button and open the gratuity record from the HR side.
"Compute Leave Balance" from the HR side.
"Create Employee Settlement" from the HR side.
"Done" from the HR side.
Employee settlement is completed.
Now go back to the resignation application and click on the "Complete Settlement" button from the HR side.
Process the application by clicking on the "Process" button from the HR side.
The resignation will be processed and an email will be sent to the employee.
After the resignation process, the employee will be archived from the company's employee record, and the employee's contract will be cancelled.
The contract has been cancelled.
In the "Departure" section of the employee, the departure details will automatically be shown.

Once an employee submits a resignation, HR and the Manager receive an email notification. The resignation goes into “Under Review,” where HR can approve or reject the application.
An employee can withdraw their resignation by clicking on the “Withdraw” button, which will notify HR and the Manager. The application will then be removed from the resignation process.
After the resignation is approved, HR assigns ongoing projects to other employees for knowledge transfer (KT). The employee must mark KT as completed, which HR will then review.
When an employee resigns, any active assets they hold must be returned. HR and the Manager are responsible for overseeing the asset return, and once the assets are handed back, the system updates their status to "Returned."
HR computes the leave balance, handles gratuity (if applicable), and creates an employee settlement record. Once everything is completed, HR processes the resignation, and the employee’s contract is canceled.
After the resignation is processed, the employee’s contract is canceled, and they are archived in the company’s records. The system automatically records the departure details in the employee’s profile.
