What exactly does "AI Copilot" do in Odoo?

The Odoo AI Copilot Assistant is a conversational AI built directly into your Odoo interface. You type requests in plain English (or any language), and the AI understands what you want, shows you what it plans to do, and — with your approval — actually does it. This includes searching records, creating or updating data, generating financial reports, sending emails, running server actions, and understanding uploaded documents. It is not just a chatbot that answers questions; it takes real action inside your Odoo.

Does this work with Odoo Community (free version) or only Enterprise?

It works with both Odoo Community and Odoo Enterprise on version 19.0. Core AI features are available on Community; some Odoo modules that the AI can interact with (such as certain HR or accounting features) may require Enterprise, depending on your Odoo setup.

Which Odoo versions are supported?

Which AI providers are supported?

The module supports OpenAI (GPT-4o, GPT-4, etc.), Anthropic Claude, Google Gemini, NVIDIA NIM, and OpenRouter — which itself gives you access to 100+ additional models from various providers. You can connect multiple providers and switch between them at any time from the settings.

Do I need to pay Atharva System for AI usage?

No. You bring your own API keys from whichever AI provider you choose. You pay the AI provider directly at their published rates — there is no markup, no credit system, and no additional fee from us. Your costs scale with your actual usage, and you have full visibility and control.

What happens if I want to switch AI providers in the future?

You can switch at any time from the module settings without losing any functionality, configuration, or conversation history. This is one of the core design principles — we believe in no vendor lock-in.

Can I use a locally hosted or private AI model?

Via OpenRouter, you can connect to a wide range of models, including some self-hosted options. If you have a specific private deployment requirement, please contact support@atharvasystem.com to discuss your setup.

Does Atharva System see my business data?

No. Your business data never passes through Atharva System's servers. When you send a request to the AI, it travels directly from your Odoo instance to the AI provider you have configured (OpenAI, Anthropic, etc.). We are simply not in that data path.

Is this module GDPR-compliant?

Yes. The module is designed to be GDPR-friendly. The only data we receive during licence activation is your database identifier and instance URL — used solely to verify your licence. This data is not shared with third parties and is not used for any other purpose. If your organisation requires a Data Processing Agreement (DPA), please contact us at support@atharvasystem.com.

Can I deploy this on-premise to keep all data within our own infrastructure?

Yes, on-premise deployment is fully supported. In an on-premise setup, you control the entire environment. The only external connection is from your server to your chosen AI provider's API endpoint — which you can also restrict or route through your own proxy if needed.

What is the one-time licence activation check?

When you first install the module, it performs a single lightweight check to confirm your licence is valid. It sends your database identifier and instance URL to our licence server. This is a one-time check — not ongoing monitoring. No business data is involved.

What if the AI tries to delete or change records I didn't intend?

This cannot happen silently. Every write operation — creating, updating, or deleting any record — triggers an approval step where you can review exactly what will be changed before anything executes. You must explicitly approve each action. If you decline, nothing happens.

What happens if an AI action fails halfway through?

All operations run inside database savepoints. If any step fails, the entire operation is automatically rolled back, leaving your data exactly as it was before you made the request. There is no risk of partial or corrupt changes.

Is there an audit trail of what the AI has done?

Yes. A full audit trail is maintained for every AI-executed action. You can see what was done, when, and by which user — this is important for compliance and for accountability in team environments.

Can the AI create and update records, or only read data?

It can do both. The AI can search and read any data, and it can also create new records, update existing ones, delete records, execute server actions, and send emails — all with the approval workflow described above. This is a key differentiator from read-only AI tools.

Does it work with custom Odoo modules?

The AI can interact with any standard Odoo modules out of the box. For custom modules, the AI can access data through standard Odoo ORM operations. Complex custom workflows may require configuration. Contact support@atharvasystem.com to discuss your specific setup.

Can I upload documents and have the AI work with them?

Yes. The module supports multimodal AI — you can upload images, PDFs, and other documents directly into the conversation. The AI can read the content, extract information, and take action based on it. For example, you can upload a supplier invoice and ask the AI to create a vendor bill from it.

Does the AI remember our previous conversations?

Yes. The AI maintains conversation history across sessions, allowing you to resume where you left off and build on previous requests. Each user has their own private conversation history — other users cannot see your conversations.

Can I use this in the sidebar while working, or only in full-screen mode?

Both. The module offers a sidebar mode so you can use the AI alongside any Odoo view without leaving your current page, and a full-screen mode for when you want a dedicated workspace for more complex tasks.
