Why Oil & Gas Tender Management?

Four-State Lifecycle

Every tender walks Draft → Published → Evaluation → Awarded, with state-aware buttons that show Publish, Evaluate, and per-bid Confirm only when valid.

Published-State Bid Gate

Bids can only be added while the tender is Published — a server-side guard rejects bid creation on Draft or post-evaluation tenders to keep the bid log clean.

Auto-Detect Lowest Bid

The Evaluate (Find Lowest) action sorts every bid by Bid Price and tags the cheapest with the Is Lowest flag — the row is highlighted yellow so the evaluator sees it at a glance.

One-Click Contract Award

Confirming the winning bid opens a wizard that creates the oil.contract with vendor, amount, and project pre-filled — and rejects every other bid in one operation.

Tender Management toggle in Oil ERP settings

Enable Tender Management from Oil ERP Settings

Tick Tender Management in the E&P Operations block to install the module and expose the procurement tendering workflow.

Open the Tenders List from Configuration

Configuration > Procurement > Tenders is the entry point for the master tender list, ready alongside Contracts in the same procurement group.

Draft a Tender with Project, Deadline, and Work Details

Set the Issue Date, Submission Deadline, link the oil and gas Project, and describe the work. Publish opens the tender to bids; until then it stays in Draft and accepts no bid lines.

Collect Vendor Bids on the Published Tender

In Published state, the Bids Received tab accepts vendor lines with Bid Price and Submission Date. The Evaluate (Find Lowest) button advances the tender once bidding closes.

Auto-Highlight the Lowest Bid During Evaluation

Evaluation sorts every bid by price and marks the cheapest with Is Lowest (yellow row). A Confirm button appears on every bid so the evaluator can pick a winner — not necessarily the cheapest.

Review the Award in a Confirmation Wizard

Clicking Confirm opens a wizard summarising Tender, Vendor, and Bid Price with a clear warning: confirming creates the contract and rejects the remaining bids.

See Every Bid’s Outcome and Jump to the Contract

Each bid row gains a Stage badge — green Confirmed for the winner, red Rejected for the rest — and the Contract smart button opens the auto-created vendor contract.

Land Directly on the Pre-Filled Contract

The wizard redirects to a draft oil.contract with Vendor, Tender Reference, Contract Amount, and Project already set — only Lease Agreement and end date remain to fill in.

Four-State Lifecycle

Clean state machine — Draft → Published → Evaluation → Awarded — with Publish and Evaluate (Find Lowest) actions visible only in the matching states.
Sequenced References

Every tender gets an auto-incrementing reference (TND/YYYY/NNNN) from the oil.tender ir.sequence — readable, sortable, and copy-safe.

Published-State Bid Gate

Server-side create override blocks any bid line when the tender isn’t Published, so bids on a draft or post-evaluation tender are rejected with a user error.
Lowest-Bid Auto-Detection

Evaluate sorts all bids by bid_price, sets is_lowest = True on the cheapest, and moves the tender to Evaluation — the row decorates yellow in the bid list.

Winner Confirmation Wizard

A transient oil.tender.confirm.wizard shows the tender, vendor, and bid price for review, then performs the award atomically — no half-finished contracts on a misclick.
Auto-Contract Generation

The wizard creates an oil.contract with vendor, amount, project, work description, and Tender Reference pre-filled — and the user lands directly on the new contract form.

Bid Stage Badges

After award, every bid gains a Stage badge — green Confirmed for the winner, red Rejected for the rest — preserving the full bidding history without deletion.
Contract Smart Button

Awarded tenders expose a Contract smart button that jumps straight to the linked oil.contract — and the contract form keeps a Tender Reference back-link.

Why won’t Odoo let me add a bid?
The tender must be in Published state. A server-side check on bid creation rejects lines when the parent tender is Draft, Evaluation, or Awarded — click Publish first.
Does Evaluate (Find Lowest) force me to award the cheapest bid?
No. Evaluation only flags the lowest bid in yellow as a hint. Every bid still has its own Confirm button, so the evaluator can pick any vendor — useful when a higher bid has better terms.
What happens to losing bids when a winner is confirmed?
They aren’t deleted — they’re marked with Stage = Rejected and a red badge, preserving the full audit trail. Only the chosen bid gets Stage = Confirmed and a green badge.
How is the awarded contract linked back to the tender?
The wizard sets contract_id on the tender and tender_id on the new oil.contract. The tender’s Contract smart button opens the contract; the contract form shows a readonly Tender Reference back-link.
