Power Utility Project Lifecycle Management Workflow
The Power Utility Project Lifecycle Workflow begins with two optional entry points: Lead Creation or Tender/Bid Management, allowing users to initiate the process based on their business scenario. In the lead-driven approach, sales estimation and quotation are prepared and shared with the customer, and upon approval, a Sales Order is created. In the tender-based approach, bids are prepared, reviewed, and once won, also result in a Sales Order. Both flows converge into project initiation.
After confirmation of the sales order, a Project is created. At this stage, a Project Visit is conducted to perform site inspection and validate real-time requirements such as materials, labor, and execution feasibility. This ensures that the planning phase is aligned with actual site conditions and reduces execution risks.
Following this, the workflow proceeds with project setup and planning, including preparation of the Job Cost Sheet and defining material, labor, subcontracting, and overhead costs. If required, Manufacturing Orders are created to produce necessary components. Work orders are executed, actual costs are captured, and upon completion, finished goods are delivered to the project site, with corresponding accounting entries recorded.
In parallel, procurement activities are carried out through material requisitions and purchase orders. Inventory is updated upon receipt of materials, and vendor bills are processed. The workflow also includes a structured Subcontractor Flow, where subcontractors are assigned specific scopes of work through subcontractor job orders or purchase orders. Their work progress is tracked, and based on completed tasks, vendor bills (including retention if applicable) are generated and payments are processed after approval.
Once all required resources are available, the workflow transitions into the execution phase under the active project. Job orders are created, confirmed, and executed while tracking progress. Timesheets are maintained to capture actual labor hours, and material consumption is recorded to continuously update the job cost and compare planned versus actual performance
During execution, risk management and issue handling are performed by identifying risks, categorizing them, and implementing mitigation plans. If any changes in scope or requirements arise, the change management process is followed, including quotation revision, approvals, and updates to sales orders and execution plans.
Alongside project execution, the workflow incorporates a dedicated Maintenance Flow for equipment and assets. This begins with equipment creation and allocation to the project or site. When maintenance is required, a maintenance request is raised, which may lead to a maintenance job order. Required materials are procured or issued through material requisitions, and maintenance tasks are executed accordingly. After completion, maintenance activities are recorded, and the maintenance job is marked as completed. This ensures proper tracking of asset performance, servicing, and lifecycle management within the same workflow.
Financial processes are integrated throughout the lifecycle. Customer invoicing is managed based on milestones or progress, including advance and retention handling. Vendor bills for procurement, subcontracting, and maintenance activities are processed, and payments are tracked to ensure financial accuracy and control.
Finally, once all job orders, subcontractor tasks, and maintenance activities (if applicable) are completed, the workflow proceeds to project closure. This includes final validation of deliverables, completion of invoicing and payments, and closure of all related documents. The project is then marked as completed, ensuring all operational and financial aspects are properly finalized.
