Installation

To install the module, you need to go to the Apps menu and remove the filter from the search bar and type the module name pragtech_hrms_skill_gap_analysis,, and click on the Activate button.

Configuration

Navigate to Settings > General Settings. Here you can see the “AI Credentials” section and the “OpenAI API Key” field. Need to set the API Key here. You can get the API Key from “https://platform.openai.com/settings/organization/api-keys” here.

Workflow

After the module installation, first go to the Settings.

Click on the User & Companies menu and open the Groups.


Search for the Company group. Here you can see three groups. Add the users in the groups by their role.

Now go to the Employees application.

You can see the AI Analyse menu, click on it. Open the “Skill Gap Analysis” and create a new record.

Select an employee from the list.

The selected employee's current skills will be shown here.

Choose the Future Job Role.

The selected Future Job Role requires the Expected Skills. If the selected Future Job Role doesn’t have any Expected Skills, then an error will be raised. To define the Expected Skills for the selected Future Job Role, click on the right arrow icon.

Here, make sure the Expected Skills for the selected Future Job Role are provided.

Now go back to the record and click the Analyze button.

Based on the selected Employee's current skills, Future Job Role, and Expected Skills, AI will identify the gaps between current and required skills. The AI will give suggestions here.

We can also check the Personalized Learning Paths or AI-recommended training programs that the employee should attend to develop the skills for the Future Job Role. For that, click the AI Analyse menu and open the Personalized Learning Paths.

Select an employee from the list.

The employee’s Skill Gap Analysis will automatically be fetched here. If the selected employee doesn’t have the analysis yet, please conduct a skill gap analysis first.

Click the AI Suggestion button.

Based on the employee’s Skill Gap Analysis, AI will recommend training programs tailored to the individual needs of the employee.

1. What is the purpose of the Skill Gap Analysis feature?

The Skill Gap Analysis feature identifies the difference between an employee’s current skills and the skills required for a selected Future Job Role. It helps organizations plan employee development effectively by pinpointing skill shortages.

2. How does the AI recommend training programs in the Personalized Learning Path?

The AI evaluates the Skill Gap Analysis of each employee and suggests personalized training programs specifically designed to bridge their skill gaps. These recommendations are tailored to the individual's current and target skill sets.

3. What information is required to perform a Skill Gap Analysis?

To conduct the analysis, you need:
• Selected employee with defined current skills
• A Future Job Role assigned to the employee
• Expected skills defined for that Future Job Role
If any of these are missing, the analysis will not proceed.

4. What should I do if the Future Job Role doesn't have any Expected Skills?

You need to define the Expected Skills for that Future Job Role. Navigate using the right-arrow icon next to the Future Job Role field and manually add the required skills. Without these, the AI analysis cannot be performed.

5. Can I use this module without an OpenAI API Key?

No, the module requires an OpenAI API Key for AI-based analysis. You must configure this key under Settings > General Settings > AI Credentials to enable the AI features.

6. Is the module configurable through the user interface?

Yes, the module is fully configurable via the user interface. You can set permissions, assign users to roles, configure API credentials, and manage employee skills and job roles directly within the UI.
