Installation

To install the module, you need to go to the Apps menu and remove the filter from the search bar and type the module name pragtech_hrms_succession_planning, and click on the Activate button.

Configuration

Navigate to Settings > General Settings. Here you can see the “AI Credentials” section and the “OpenAI API Key” field. Need to set the API Key here. You can get the API Key from “https://platform.openai.com/settings/organization/api-keys” here.

Workflow

After the module installation, first go to the Settings.

Click on the User & Companies menu and open the Groups.


Search for the Company group. Here you can see three groups. Add the users to the groups by their role.


Now go to the Employees application.


First, we can check the employee's User side. I have logged in as an employee. Open the employee application and open one employee record.


Here we can see a Feedback button at the top. Any employee can give their feedback about their colleagues, supervisors, etc.
For example, if the employee needs to provide feedback about their colleague Abigail Peterson then just open her record and click the Feedback button.


It will open a pop-up, where we can provide feedback. Need to set the Feedback Type and need to fill out all the feedback fields.


Now we can check the Admin or HR side. Log in as Admin or HR. Only Admin or HR can see the Feedback menu in the Configuration main menu. Also, they can see an AI Analyzer menu over here.


Open the Feedback menu. Here, the Admin or HR can see the submitted feedback.


All the submitted feedback will appear here.


Now, click the AI Analyse menu and open the Employee Successor to find the potential successors for critical roles and plan for leadership continuity by department.


Select the Department to find the potential successors by department.


For example, here selected Professional Services as the Department and clicked the Update Successors button.


Based on the feedback from all employees in the Professional Services department, the AI will identify the potential successors for critical roles and plan for leadership continuity.
Here we can see AI selected the employees for Potential Successors and also gave the reason in the AI Response field.


For example, here selected Research & Development as another Department and clicked the Update Successors button.

The module is designed to streamline the process of identifying potential successors for critical roles within an organization. Using AI-driven analysis based on employee feedback, it ensures leadership continuity and helps HR make informed, data-backed decisions without manual review.

The AI uses OpenAI's language model to analyze qualitative feedback and reviews submitted by employees, categorized by department. It evaluates patterns in communication, performance indicators, and peer insights to recommend the most suitable candidates for key roles, along with reasons in a human-readable format.

Only users assigned to Admin or HR roles can access the AI analysis dashboard and feedback database. These roles are managed via the “User & Companies” > “Groups” section, where permissions can be configured appropriately.

Employees can navigate to the Employees module, select a colleague’s record, and click the “Feedback” button. A form will pop up where they can choose the feedback type and provide detailed input.

You must set your OpenAI API key in Settings > General Settings > AI Credentials. This key enables the backend AI model to function. You can generate the API key from the OpenAI API Key Settings page.

Yes, the module is fully configurable via the user interface. You can manage departments, feedback types, access rights, and AI configurations easily without modifying the codebase.
